Merge Duplicate Candidates

Duplicate candidates can be unavoidable, but thanks to Eploy's Merge Duplicate tools, they don't need to unmanageable.


Find Duplicates

Find Duplicates is a tool found within the Reports menu on the Candidate Grid view and can be used to identify potential duplicate records.

To access the tool navigate to View > Candidates > All Candidates then, from the toolbar click Reports > Find Duplicates.

A new tab will open and you'll be asked to choose the criteria to show / flag duplicate candidates. Select from any combination of:

  • First Name

  • Surname

  • Town

  • Date of Birth

  • Email - this will be automatically selected as default

Having made your selections select the appropriate option:

  • Show - adds a filter to the Candidate Grid (on the original browser tab) to display candidates identified as being duplicates

  • Auto Merge - this will automatically merge the duplicate records.

    • You can only use this option if First Name, Surname and Email are selected criteria.

    • Before merging, you'll be asked whether to use the oldest or latest record as the master - duplicate records will be merged into this one. Click Auto Merge again to proceed

    • Select which records to merge, click Next

    • Confirm the merge options, click Merge.

  • Flag - as with Show, this option adds a filter to the Candidate Grid (on the original browser tab) to display candidates identified as being duplicates

  • View Count - this option simply tells you how many duplicate records the tool has identified.


Identifying and merging duplicates from within the Candidate Record

When creating or editing a Candidate record, as you complete the First Name, Surname and Email Address fields, Eploy will automatically identify potential duplicates as you type.

To view the potential duplicates, click the possible duplicates link.

Eploy will display the possible duplicate candidate details immediately below the link.

To view the identified record in full, click it. The record will open in a new window.

If you are editing an existing record, and if your user has the correct permissions, in addition to the possible duplicates link, a Merge link will be displayed. Click this link to open the Merge Candidates tool

The tool will list the potential duplicate records identified. Select which records to merge and which to use as the Master record - the other records will be merged into this one. Click Next, confirm the merge options and click Merge.
