Imports and Exports

What is an Import?

Imports are used to get data into the system and there are several options available - whether it be an API import, which makes use of the Eploy API to update and create records, or the CSV import functions which will allow you to manage Organisations, Contacts, Users and Drop Down Lists, all imports will create a row within our Import / Export table.

This is done to to allow you to keep track of where data within your system is coming from, as well as when it is being added to the database.

You can find records of this within Admin > Imports/Exports, where each row will detail an import or an export from the system.

CVs can also be imported into the database, using the CV import mailboxes.

What is an Export?

Exports in Eploy are automated transfer of data, from Eploy to another platform. This may mean that we are passing data to your HR or Payroll system following the successful completion of onboarding or using an export to share data with a background check provider during your recruitment process.

Whilst Exports aren't something that we offer as standard, we can help to implement one to reduce admin, keep data secure in transit an reduce the need to be running and downloading reports to extract information from the system - all of which is designed to help you stay compliant.

Viewing Imported and Exported Data

Whether importing via our API, the Organisation and Contact import or the drop down import, the results can always be found within Admin > Imports/Exports.

Import and Export histories are displayed on a grid, organised by the date of the event.

The grid includes useful information such as the record type that was imported, as well as the type of import / export. This will help you to quickly identify the import / export batch that you are looking for.

To view the detail of each import, click into the date / time, which will then detail all of the records involved on that occasion - this will allow you to check on a granular level which records have been included in each individual export.

The status of an Export can also be viewed from within a Hire Record. Navigate to View > Hires and click on the Start Date of a Hire Record. The current Export status (Exported Systems) is displayed at the top of the Details tab.


Can I force an Export to run?

Eploy Exports use triggers and web services to run the export, which means to force the export to run, all you need to do is set a record the appropriate trigger status (such as Onboarding Checked - Candidate Ready on the Hire Record) and then wait for the web service to pick up the record.

The web service looks for records at that status which have not yet been exported, as well as running on a schedule - that schedule will differ per export and your requirements, but will likely be anywhere between every 10 minutes through to once per day / week.

Re-exporting Records

From time to time, you may wish to re-export a particular record, on the basis that there was an issue with the original - perhaps the candidate hasn't provided the information in the required format, which has subsequently caused a problem with the exported data.

To do this, you will need to have the appropriate permissions and should only be done with caution. The steps required to re-export the record, include removing the existing exported ID and deleting it from the export table:

  • In Admin > Imports/Exports, identify the record that you wish to re-export, by clicking into the export batch at the appropriate date and time.

  • From here, delete the individual record which requires to be exported again - do not delete any records which do not need to be re-exported.

  • Once the record has been removed, navigate to the appropriate Hire record and reset the trigger status for the export.

  • With the trigger status set, the export will be picked up by the next scheduled export run and re-exported.

πŸ“Œ Note - Depending on your configuration, there may be additional steps required to re-export data, including removing an export ID from the candidate record. However, always check with your system administrators first and contact the Eploy Support Team if you are unsure.
