Using Inventory to Organize Your Fleet

Instructions on using Inventory in T3's Fleet web app to organize your assets for projects and jobs.

Keeping track of all your mixed fleet is essential when managing your operations. With Inventory, you can take the guesswork out of available equipment for upcoming projects. Quickly glance at your equipment class inventory to understand which are ready for work (Available) or not due to maintenance issues or inspections (Unavailable) and being used for projects (On-Rent). Reduce downtime by addressing your unavailable equipment to get your operations back up and running again.

Additionally, with Inventory, you can internally assign (rent) your equipment to your various jobs. For more information, see Internally Rent Your Equipment.

Accessing Inventory in Fleet Web App

  1. Log into T3.

  2. From the left menu of Fleet, select Inventory.

  3. All of your owned assets that have been loaded to T3 and any EquipmentShare rentals you have rented will display.

    1. Note: For more information on adding assets to T3, see Adding Assets to T3.

Searching and Filtering Inventory

  1. From the top of the Inventory page, you can search through your inventory by:

    1. Search by Asset Name, Vendor, Jobsite, Make or Model.

  2. Next to the Search, use the Filters to find what you need.

    1. Filter by Branches, Categories, Asset Type, and Statuses. For more information, see the Terms and Definitions table.

    2. You will only see filtered options that apply to your company's asset inventory.

    3. When you use the filters, the total number of values you filtered will display.

      1. For example, if you filter the data by 5 branches, a pink 5 label will display.

  3. To refresh the data, select the reload icon on the far right.

Viewing Inventory Counts by Class

The displayed inventory will be separated by Class and will show counts of Available (Ready for Work), Unavailable (Inoperable), or On-Rent (Assigned to a Job) assets.

  1. From an asset class, select the expand arrow to see the inventory.

  2. For each inventory asset, the Name (clickable link will take you to the asset history page), Vendor, Make, Model, Jobsite, Location, and Status will display.

  3. To collapse the row, select the collapse arrow.

Reviewing Assets within Class

  1. Once you've filtered your inventory, expand the Class row to see your assets in the category.

  2. Find out the asset's Name, Vendor, Make, Model, Jobsite, Current Location, and Status.

    1. To review the asset details, click the blue asset name link which will open the asset details panel where you can take action on the asset, like sharing location or requesting service.

Reviewing Down Inventory

  1. To see a quick glance at classes that have down machines hover over the red warning icon, which will show a count of Soft and Hard down.

  2. Expand the row and find the assets inventory with a down status.

  3. Click the Name link to open the asset history page.

4. From the asset history page, select Service > Work Orders to open the asset's work orders to find out the latest status.

Note: To see your owned asset's Work Orders, you must be using T3's Service feature.

Categories

Categories are used to categorize your assets according to broad criteria in the T3 platform.

The categories are created within Assets > Categories and assigned to an asset in the Add Asset form.

Classes

Classes are a grouping of individual assets or equipment items with similar designs and operations in the T3 platform.

The classes are created within Assets > Classes and assigned to an asset in the Add Asset form.

Branches

A branch is a store or location for your company as set up in T3.

The branch is created within Company > Branches and assigned to an asset in the Add Asset form.

Asset Type

The types of assets you have within your T3 platform. Note: You will only see the types that exist for your company.

  • Equipment

  • Vehicles

  • Small Tools

  • Trailer

  • Attachments

  • Bucket

The asset type is indicated in the Add Asset form.

Statuses

The current status of the asset. See the below definitions.

Assigned (Status)

An Assigned status will display for your EquipmentShare rentals only. This means an asset has been assigned to your upcoming rental period.

Done on the internal side of the T3 system.

*Hard Down Status

A Hard Down status means the asset is inoperable or waiting on parts to be fixed.

The Hard Down status originates from the asset assigned to a Work Order or Inspection in the T3 Fleet > Service feature.

Make Ready Status

A Make Ready status indicates the asset is almost ready to be assigned (on-rent) towards a job.

The Make Ready status originates from an asset not assigned to any rentals.

*Needs Inspection Status

A Needs Inspections status indicates the asset requires the inspection to be fully completed before assigning to a job (on-rent).

The Needs Inspection status originates from an asset not being assigned to any rentals and has an open inspection in the T3 Fleet > Service feature with no soft or hard down items.

On-Rent Status

An On-Rent status means the asset is assigned to an internal job for your owned assets or indicates an EquipmentShare rental.

The On-Rent status originates from an asset assigned to a rental order with a status of "on-rent".

Passed Status

A Passed status means the asset recently went through an inspection and it passed.

The Passed status originates from an asset assigned to an inspection in Fleet > Service or Link mobile app and it passed.

Pending Return Status

A Pending Return status will display for EquipmentShare rentals only and indicates the asset is awaiting pick up.

The Pending Return status originates from an asset that has been off-rented.

Pre-delivered Status

A Pre-Delivered status is when an EquipmentShare rental is dropped off at your jobsite before the rental period starts.

The Pre-delivered status originates from the rental being dropped off and assigned a pre-on-rent status in the T3 system.

Ready to Rent Status

A Ready to Rent status means your asset is ready and available to use for internal rental jobs.

The Ready to Rent status originates from the asset not being assigned to other rentals (jobs).

*Soft Down Status

A Soft Down status means the asset is functional and has minor issues, awaiting a mechanic to fix or parts to be ordered.

The Soft Down status originates from the asset assigned to a Work Order or Inspection in the T3 Fleet > Service feature.

*will only display if you use T3's Fleet > Service feature to manage your owned equipment's servicing needs. You may see a Soft or Hard down status with your EquipmentShare rental if you have requested service.
