a. Voting Response Window

Once a voter accesses a vote, either by clicking on a link in a voting email, or by entering a pin at the URL erm.vote, they will be taken to the Voting Response Window shown on the right.

Voters access this screen through a standard browser window on a mobile device, tablet, notebook or desktop computer. No dedicated voting devices are required. This screen will automatically scale based on the device and monitor size for each voter.

Voters click on the drop down fields provided to select the values that they feel best represent the risk. If your organization is using the custom risk fields optional feature, then free-form comment fields may also be included in this voting window.

Users may receive guidance on how to to make their selections by clicking on the ⓘ icons where they appear. These icons open pop up help screens with content as configured by system admins in the overview of the Risk Details screen.

Voter selections and entered data are automatically saved when a voter clicks out of a field. When multiple risks are included in a vote, voters can click “Next Risk” and “go back” to browse between risks. Voters can simply close their browser window when they have finished voting.

Voters can reuse the link or PIN to reopen the vote and change their response up until the vote expires or the vote administrator closes the vote through the Vote Details screen below.

b. Vote Explorer

Admin Users can access the Vote Explorer screen by clicking on the “Votes” option in the to menu bar. If you are an Admin User and you do not see this option, then the voting feature has not been enabled for your account and may not be included in your subscription.

The Vote Explorer screen allows Admin Users to view, sort, and filter all current open votes and all previous closed votes. When votes are still open, the Status column will show the number of hours remaining for the vote. The Voters column shows the individuals included on the vote, with a light green color indicating the voters who have already voted and a white background showing voters who have yet to respond.

The details of individual notes may be accessed by clicking on the blue Vote Number or blue Vote Name, if one has been given to the vote. Clicking on these links opens the Vote Details screen.

c. Vote Details Screen

Admin Users who click on the blue Vote Number or blue Vote Name will be taken to the Vote Details screen, pictured on the following page. The first example shown is for a vote that has already been completed and is now closed.

Administrators may click on the vote name to edit it at any time, even after a vote has closed. Administrators may also delete a vote by clicking on the [...] menu in the top right corner of the Vote Details screen. It is important to note that deleting a vote will delete any and all results received for the vote. Deleting a vote is permanent and cannot be undone.

The white section in the upper right corner of the screen contains a summary of how the vote was configured, including who the voters were, the information that was shared with voters in the Voting Response Window (under “What Voters Saw), and the items that voters were asked to vote on (under “What They Voted On”). Green check marks beside voter names indicate voters who provided a response. Green check marks beside items in the “What Voters Saw” and “What They Voted On” columns indicate that items were included in the vote. Red x’s indicate that items were not included.

The previous screen shot example showed a vote that was already active. The image below shows a vote that has been saved, but not yet activated (e.g. if the vote administrator clicked “Save Only” during the voting creation process.

The vote configuration can still be edited while it is in this inactive status. For example, voters and risks can be added and removed, the vote end date can be adjusted, and the elements included in the vote can be changed.

Once the vote administrator clicks Start and Send, the vote will be activated, voters will be notified by email, and the vote configuration can no longer be changed. A vote can be stopped early at any time by clicking the blue “End Now” button. Once a vote has ended, new vote responses will no longer be accepted.
