Resolve any errors on the validation screen before continuing the month end process

The next stage of the Month End process runs validation checks on your monthly data, and also allows you to check all transactions for the month before invoicing owners. If errors are displayed in the Validation Checks window it is very important to check and resolve these errors in your database before continuing with the month end process. Common validation issues are:

Non Current Horse Charged Agistment
A horse that is not currently on your property has been charged Agistment. This may occur if you process your agistment charges before recording horse departure procedures.

Possible Duplication of Transactions
There are a number of very similar transactions entered to the same horse, for example farrier procedures double entered on the same day. Check if a data entry error has occurred.

Horse Departed but Transactions Entered
Transactions may have been entered to a horse that is not recorded as a “current horse” in Ardex. This could be a data entry error where the wrong horse has been selected.

Horse has no Agistment Charges
A horse that is currently on your farm may have no agistment charges entered for the month. This could result from horse arrival procedures being recorded after agistment charges are processed.

Non Current Owner Invoiced
An owner record may be set to not active and yet charges are recorded to the owner. You may need to make the owner active again if they have an interest in a current horse on your property.

Owner Charged has no Share in Horse
A horse transaction may be charged to an owner who no longer holds shares in the horse. This may result from ownership changes being recorded after invoice generation.

There are many other possible validation errors which could display in the Month End wizard. We strongly recommend that you do your best to resolve all validation errors and re-run the validation check feature until all errors are clear, or you are satisfied that the transactions listed are in fact valid.

If you click the Next button without looking into validation checks displayed, there is a possibility that owners could be charged for transactions in error, or charges could be held over to future months until errors are corrected.

When all validation errors have been resolve, you can continue to step 3 of the month end process
