Default key files are files that automatically appear on every new matter of a given type, so your firm doesn't have to create them manually each time. You can configure different default key files for each matter type.
📁 How do I add a default key file?
Go to Account Settings and scroll to the Matter Defaults section.
Under Default key files, select the matter type tab you want to configure (Probate - Testate, Probate - Intestate, Trust Administration, or Estate Planning).
Click Add file. The Add default key file modal opens.
Enter a File Name.
Check Add to client portal if you want this key file to appear on the client portal. Leave it unchecked to keep the file firm side only.
Choose how the client uses it. The two options are independent, so you can turn on either one or both:
Share file lets clients view firm documents.
Request upload asks clients to send your firm a file.
Add Client instructions (optional) to tell the client what the document is, what file format you need, or where to find a copy.
Click Save, then click Save Matter Defaults.
👥 What does the Client Portal column mean?
Each default key file has a Client Portal column showing Yes or No.
Yes means the key file appears as a row inside the Estate Files step of the client portal. What the client can do on that row depends on the options you chose. With Share file, the client can view documents your firm attaches. With Request upload, the client is asked to send you a copy. With both on, the client can do both.
No means the key file is firm side only and the client never sees it.
💡 Good to Know
Clicking an existing row opens Edit default key file, which has the same fields plus a Remove button.
Each matter type comes with system default key files (for example, Death Certificate and Will for Probate - Testate). These cannot be removed but can be supplemented with your own.
Custom default key files you add will appear on all new matters of that type going forward. Existing matters are not affected.
You can change the client portal settings on any individual matter from the Estate Files tab, which does not affect your firm defaults.
You can configure different key files for each of the four matter types.
