HMIS Best Practices

Managing data for HMIS can be a challenge, especially when presented with minor data entry errors that can cause a domino effect.

For the best user experience when dealing with HMIS data, we recommend doing the following:

  • Run Data Validations as often as possible, on a monthly basis would help keep better track of any missing data points, or things that could cause errors with HUD Reports. Data Validations are a useful asset in finding and correcting data entry issues.

  • Please ensure that all Participants are in a Family, as this is necessary for the assignment of Household IDs that can be seen in the Data Pulls, and can affect how Participants appear in HUD Reports.

  • Ensure that data entry is being done correctly. The HUD Assessment has a large amount of questions, which can make it easy to lose track of smaller details, such as ensuring that important details such as the Date Taken matches the Enrollment Date.

  • If a ticket needs to be opened with support, please keep in mind that it may take more than one business day to identify and solve the issue. Please enter support tickets so that there is a buffer in between the date from when the ticket was opened, until any due dates for any data submissions.
