Introduction to EventsAir Communication

Communicating with your attendees can happen at the individual level, to a group, or en masse. You may plan ahead, personalize each message using automatic merging, or send one-off messages as needed.

Lesson 1: Sending out A MERGE DOC

As an event organizer, you may have many reasons for needing to send out a communication. Maybe you need to send an update to everyone attending a conference, or a quick payment reminder to someone who forgot to pay. Every event is different and has its own communication requirements.

No matter what your communication needs are, EventsAir has options to suit.

In this lesson, we'll send out a Merge Doc that was pre-built in your sample site. (A Merge Doc is designed to take information from each attendee's record and 'merge' it into a document, so that it's unique and personalized to them.)

lesson 2: Scheduled communications

Planned Communications lets you organize, create and schedule a variety of communications to your Attendees. There are a few different settings:

Start Date - the day and time to send the communication.

Output - do you want to send automatically, or place in the email queue?

Recurrence Tab - The Recurrence Tab lets you schedule a repeat sending of an email. For example, you can define a filter to select only those records who still haven't paid. Each week, anyone who still hasn't paid will receive a payment due reminder. (If you're using the Recurrence tab, the Recurrence Start Date will be auto-filled based on the Start Date.)

lesson 3: Building a confirmation merge doc

Creating Confirmation Merge Docs in EventsAir is a very straightforward process. You'll be using a drag-and-drop builder, just like how you'd create an Interactive Site. In just a few minutes you can set up your message and customize your content.

When you create your Merge Docs in advance, it's easy to re-use them in multiple situations, such as:

  • Automatically sending a confirmation email when an attendee registers online

  • Manually sending a confirmation email if you register an attendee manually

lesson 4: Attendee alerts INCLUDING news updates

Attendee Alerts are messages you send to attendees via their Attendee App. These alerts are useful for last minute changes to your program, as well as letting your attendees know about upcoming functions or activities. These types of Attendee Alerts can be categorized as:

News - General news updates such as an update on the weather

Alerts - Time-sensitive notices such as reminders that an event is about to begin

Posts - Communications to go out via EventStream, the private social network available in EventsAir

You can send messages to a specific App (to attendees, or to your team via the Organizer App) and you can also filter your announcement to go out to a specific subgroup of attendees, such as speakers or exhibitors.

The most important feature is your ability to schedule these alerts and updates. Assigned team members can also retrieve messages from the Queued List and make updates before they're sent.
