Lesson 2A.10 - Function and Guest Management

The Functions Module in EventsAir lets you create an unlimited number of functions, such as dinners, tours, and any other activities where you want attendees to register in advance, and possibly pay a fee to attend. Functions are usually included in your event agenda, and you can also limit the inventory (number of places available).

You also need to consider how you'll manage guests (such as partners of attendees, or colleagues), since guests can be active participants in your overall event, or may only join the main attendee for just one function.

2A.10.1.1 Function and Guest Management Setup

Setting up a function covers adding the main function details, along with Fee Types, which are the different options for fees/tickets that an attendee chooses when signing up.
You may want to organize and segment your Functions into Function Groups (for example, if you have 4 different optional sports activities).
There are three different ways to manage tickets and fee types for guests:

  • Offering generic tickets to both attendees and guests

  • Adding basic details for guests to an existing attendee record, or

  • The creation of a unique and separate guest contact record

2A.10.2.1 Setting up Functions in an Interactive Site

When you set up functions in your Interactive Sites, you can ask for details for both your attendees and their guests in various ways.

It's especially important to understand how to capture a guest's information when an attendee registers for or purchases a guest ticket. You can either:
- sell the ticket without capturing guest information
- collect basic guest details that are stored in the attendee record or
- automatically create a new contact record for the attendee's guest.

2A.10.3.1 Managing Table Seating

EventsAir provides a comprehensive set of tools for creating seating floor plans, allocating seating assignments and managing the many different details involved in table allocation.

There's also a self-service option that allows attendees to see table seating assignments directly from their Attendee App and invite others to sit at their table.

2A.10.4.1 Function Reports & Exports

EventsAir's powerful reporting and data export tools offer many ways to see and report on your function data. This is where you can use Function Groups and other targeted filters to create specific reports with exactly the data you require.

In addition, a Comprehensive Export can give you a detailed spreadsheet of function data.
