Fast Track Lesson 2B.2 - Application Setup for Administrators

System Administrators are responsible for maintaining user access to EventsAir as well as setting up and managing standard libraries of information.

The Application Setup allows System Administrators to customize EventsAir and is only accessible to user with the user type ‘System Administrator’. Application Setup is accessed via the Event Selection screen.

Once in the Application Setup panel, you can access System Setup, Advanced Setup and Libraries.

2B.2.1.1 System Setup

The System Setup section allows you to configure the most important functions in EventsAir to get you and your team up and running. In this section, you can configure:

  • Users – create users, reset passwords, make users inactive and change permissions

  • Password Policy – set the policy regarding password strength

  • Event Groups – collect similar types of events into a group for reporting and filtering purposes

  • External Connections – add settings for external services and connections such as e-commerce gateways, custom email servers, live streaming integration and much more.

  • Offices – If you have a large organization or multiple branches, you can create Offices in EventsAir. This keeps a strong separation between offices but allows some users to access multiple offices and allows for cross-office reporting. You'll always have at least one office. In the settings for an office, you can also define your default Data Processing Consent text and Data Log Settings. As different offices may be in different jurisdictions, they can have different defaults. These are the default Data Consent and Data Log settings used for each new event for this office and can be overridden at an event level.

2B.2.2.1 Advanced Setup

The Advanced Setup section allows you to configure optional functions in EventsAir.

Here, you can access:

App Store – You can set styline and branding for all your apps here, and also add 'system level' apps to cover all your usage of EventsAir. (Usually these are custom apps and will be discussed during implementation.)

Custom Fields - Again, as you would for an event, Custom Fields can be created to collect additional information at an Application level. You can add Custom Fields for Events, Offices, Suppliers and Users.

Preferences – You can set your preferred text for when an attendee needs to reset their online password, and also set preferences for how invoice numbers are managed (either per event or centrally).

2B.2.3.1 Libraries

The Libraries section allows you to build up or edit standardized data that can be accessed across all your events. The 'master libraries' you can set here are:

Dietary Requirements – Define your master list of dietary requirements that can be used across all events

Amenities – the types of amenities a supplier or hotel may have (e.g. "Free WiFi") - used mainly for API integrations

Hotels & Suppliers – you can create hotel brands and chains and define all your regular hotels and suppliers. These Hotels & Suppliers can then be used within an event. You can also add hotels and suppliers directly within an event.

Room Types – you can define standard room types that can be linked to your library Hotels

Currency – you can add currencies to EventsAir

Languages – you can add languages and custom translations in various areas of EventsAir

Countries – you can edit the predefined list of countries

Ports – if you use the Travel Module, you can edit the predefined list of airports

Carriers – if you use the Travel Module, you can edit the predefined list of airlines
