Lesson 2B.10 - Waitlist Management

Functions, hotels, travel and even registrations can be fully booked. Therefore, attendees often ask to join a waitlist just in case someone cancels, or extra tickets are added.

In EventsAir, you can manage this by taking waitlist requests during online registration, tracking and reporting on waitlist requests, and assigning extra inventory to those on the waitlist.

2B.10.2.1 Enabling Waitlists (Set Up)

To get started with Waitlist Management, you need to enable this tool for any functions, registrations, accommodation or travel options with a set inventory. To do this, you'll go into the Set Up panel and add some options to any payment statuses you've created.

2B.10.2.1 Enabling Waitlists in Your Interactive Sites

Once you have added the waitlist option(s) for one or more items, you need to enable these in your Interactive (registration) Sites.

The most important thing to remember is to set the appropriate inventory limit before waitlisting becomes active. We recommended you think about this before enabling the waitlist, as you may want to start accepting waitlist requests even if you still have some inventory left. (This is often done to keep aside some inventory for special circumstances such as VIP attendees.)

2B.10.3.1 Tracking and Reporting on Waitlist Requests

You can track and report on all waitlist requests, using two different EventsAir tools:

- In the Alerts Panel, you can see waitlist activity for any function, registration, accommodation or travel option where it's been set up.

- You can also search on waitlist payment statuses and generate reports to show which attendees have opted for the waitlist option.

2B.10.4.1 The Waitlist Management Express Action

EventsAir includes a tool called the Waitlist Management Express Action, which can be used to manage any item that you've enabled for waitlisting (where attendees have chosen this option). This is a quick and easy way to select anyone you'd like to move off the waitlist and assign them a new payment status.
