Advanced Setup - Custom Fields

EventsAir lets you create Custom Fields (and Custom Field tabs) to include in any module. This is very useful when your specific event requires the collection of unique data, that isn't included in standard EventsAir fields.

Custom Fields

There's no limit to the number of Custom Fields you can create.

To create a Custom Field, you have these options:

  • Module - select the EventsAir module you want to add the custom field to.

  • Add Custom Field - select this button to create your custom field.

  • Name - enter the Name of the custom field.

  • Type - select the type of data you wish to collect.

    • Text (single-line response)

    • Checkbox (site user can check the box, or leave it unchecked)

    • Number (site will accept a whole number)

    • Amount (site will accept a number assumed to be in currency of the site)

    • Date (valid dates will be accepted)

    • Tag (you can have a tag-only/checkbox response, or create sub-tags to allow site users to choose from a dropdown)

    • HTML (site user can add any HTML content - including text, images, links and formatting; content can be exported as part of a Standard or Comprehensive Export)

    • Document (The site user can upload a document - this is a useful option if you need more than one line of text, want to include hyperlinks etc. as you can give instructions for that; if created as a Contact custom field, documents will be stored in AirDrive in a sub-folder under Contact.)

  • Sort Order - enter the sort number here. Items with smaller numbers will appear higher on the list than ones with larger numbers.

  • Mandatory - lets you require user entry on this Custom Field.

Custom Field Tabs

Custom Field Tabs are used to control how and where your data is located within EventsAir. For example, you may want to collect Passport Details and Company Background details, with custom Marketing information. You could create two custom tabs:

  • Passport Details (in the Contact module)

  • Company Background (in the Marketing module)

When you're creating Custom Field Tabs, select the Create Custom Field Tab button and then choose the module and the Tab name.

Identifying Fields that contain Personal Data

EventsAir, being an event management platform, has many fields that contain personal data. For data privacy reasons, fields containing personal data in the Contact record are recognized as private by default (i.e. name, email, photo, address, phone, social media, IP Address).

Beyond that, many other fields could potentially contain personal data, depending on how they're set up, including:

  • Contact User Defined Fields

  • Note Types

  • Marketing Tags

  • Custom Fields

It is important for event managers to review any additional fields that they have created and marking those fields as containing personal data. This is used by EventsAir to identify these fields for reporting to attendees, and when anonymizing or deleting a contact record for data privacy reasons.
