Linked & Primary Events

In Documents

Updated over a week ago

Linking Events allows you to pull data from the selected Event(s) into a Document.

If you have Bookings with multiple Events, you can pull all or some of those onto one Document.

How to Link & Unlink Events

Link Events at the time of Adding the Document to a Booking

Click the top checkbox under the 'Linked Events' to select all Events or click the checkbox of specific Event(s)

Link Events at the time of working with an existing Document of a Booking

An existing Document will show you all the Events that can be linked/unlinked. By default the details of the Linked Events are collapsed.

Click on the little drop down arrow to see more.

Note: The position of this little drop down arrow may be at the end of the line or positioned elsewhere depending on the number of events linked.

Tick or Untick the boxes of the Events you wish to link or unlink to the document. Remember to Save.

Primary Event

You can influence which of the linked Events will be your Primary one.

The Primary Event's information is shown when using merge fields in a Text Box Document Element.

How to Change a Primary Event

When you're working on a Document, and you have more than one Event associated with the Booking, Events are listed in chronological order - whichever Event is staring the earliest is considered the Primary event by default, however this can be changed with one simple click:

  1. Open a Document

  2. Find the Linked Events in the header

  3. Click on the drop-down arrow

  4. Click on Make Primary on your desired Event

  5. Changes will be saved

Important Considerations

If you are working with multiple Events and would like all of their information shown, use the Events/Spaces Document Element.

Any Email Templates or Workflows that use merge fields associated with Events will draw from the Primary Event.
