Saving a Custom View or Report

Custom Views in Event Temple allow you to personalize how your data is displayed — across any module, including Bookings, Events, Documents, Room Blocks, Invoices, and more. By applying filters, selecting columns, and saving your setup, you can quickly access the exact information you need, whenever you need it.


How to Create and Save a Custom View

  1. Open the Module You Want to Customize
    Navigate to the page you’d like to filter or report on. For example:

    • Bookings: to view all confirmed or tentative bookings.

    • Room Blocks: to monitor pickup.

    • Documents: to track BEOs, contracts, or proposals by status.

    • Invoices: to review payments and due dates.

    • Contacts or Accounts: to segment by market segment or city.

  2. Add Filters

    • Click Add Filter at the top of the list.

    • Apply filters relevant to your search (e.g., Booking Status = Definite, Document Type = Banquet Event Order, Room Block Start Date = This Month).

    • You can combine multiple filters for precise results.

  3. Customize Columns

    • Click the Columns button to select which data points you want to appear.

    • Drag and drop columns to reorder them.

    • Toggle columns on or off to focus on what matters most.

    • Click column headers to sort your list (e.g., by Created Date, Updated Date, or Booking Start Date).

  4. Save Your View

    • Click Save View in the top-right corner.

    • Choose Save as New.

    • Enter a descriptive Name for your custom view.

    • (Optional) Add a short description to help others understand the purpose (e.g., “Definite Bookings - Monthly Revenue Report”).

    • Choose your visibility:

      • Private View: Only you can see it.

      • Shared View: Visible to others in your Organization or Chain, depending on your permissions.

    • Click Save.


Managing Saved Views

  • Access your saved reports from the View: dropdown at the top of the page.

  • To edit an existing view, open it and select Save View → Update Existing.

  • To delete a view, click the dropdown and select the trash icon beside the name.

  • To pin a view, select the pin icon to keep it visible at the top of your list for quick access.


Important Notes

  • Chain Administrators can delete any shared view across all properties.

  • Single Property Admins can delete any shared view within their property.

  • Read-only users cannot save or modify views.

  • New shared views are not automatically pinned — each user must choose which to pin.

  • Updates made to a shared view are visible to all users who have access to it.


Example Use Cases by Module

📘 Bookings

  • Weekly Definite Bookings Report:
    Filter by Booking Status = Definite and Created Date = This Week to track all confirmed business for the same week.

  • Lost Business Summary:
    Filter by Stage = Lost and include Lost Reason and Value columns for trend analysis.

🏨 Room Blocks

  • Pickup Tracking:
    Filter by Room Block Status = Definite and Event Date = Next 30 Days.
    Include columns for Contracted Rooms, Blocked Rooms, Picked Up Rooms, and Remaining Inventory.

📄 Documents

  • Upcoming BEOs:
    Filter by Document Type = Banquet Event Order and Booking Start Date = This Month.
    Add columns for Status, Updated At, and Booking Name to monitor completion progress.

  • Contracts Awaiting Signature:
    Filter by Status = Sent and Document Type = Contract to follow up with clients.

💰 Invoices

  • Overdue Payments:
    Filter by Invoice Status = Unpaid and Due Date = Past Due.
    Add columns for Balance Remaining, Account Name, and Assigned User.

  • Monthly Revenue Report:
    Filter by Created Date = This Month and Status = Paid to summarize collected revenue.

👤 Contacts / Accounts

  • Corporate Clients Only:
    Filter by Account Type = Corporate to isolate business partners.

  • Prospects by Region:
    Add a custom column for City or Region and filter by Stage = Prospecting.


Best Practices

  • Name Views Clearly: Use consistent naming conventions (e.g., “Definite Bookings - November 2025”).

  • Avoid Overlapping Filters: Too many filters can restrict your results — start broad, then narrow.

  • Use Shared Views for Team Reporting: This ensures everyone is aligned on the same data.

  • Update Regularly: If your reporting needs change, update and re-save your view rather than creating duplicates.


Tip: Saved Views double as custom reports — no export required. Once saved, you can revisit and update your report at any time, making it ideal for recurring sales, operations, or revenue reviews.
