Is it possible to import an email? - Add emails to my Bookings - How to forward emails into Event Temple - what is the bcc email address?

Event Temple has a BCC & Forwarding functionality that allows you to send an email, while simultaneously adding it to your Event Temple account for proper tracking.

This feature ensures seamless integration and centralized communication management by allowing users to forward their emails to the Event Temple platform while automatically tracking event-related correspondences.

BCC - This can be used when you are sending an email to a Contact from your email account and want to file it away in Event Temple at the same time.

Forwarding - This option is great if you want a copy of an email sent to Event Temple without emailing a guest, or if you'd prefer to reply from Event Temple.

The BCC email is system-generated for each user is created and cannot be changed. The email is in no way connected to your actual email.

To ensure proper functionality, verify that you are using the exact BCC email address provided and check your account's configuration settings for the targeted pipeline and stage.

Before utilising this feature, select the pipeline and stage where new bookings or inquiries will be created to ensure proper organization and tracking.

  1. Click Settings

  2. Under Personal Settings, click Email

  3. Under BCC and Forwarding, click edit

  4. Select the relevant Pipeline and Stage

  5. Click Save


BCC

  1. Click on Settings on the left-hand sidebar

  2. Select Personal Settings

  3. Select Email

  4. Select BCC & Forwarding

  5. Copy the address under BCC & Forwarding

  6. Add the email address as a BCC in the email you are sending

  7. Send the email


Forwarding

Option One - Manually specify which Contact to link to

  1. Click on Settings on the left-hand sidebar

  2. Select Personal Settings

  3. Select Email

  4. Select BCC & Forwarding

  5. Copy the address under BCC & Forwarding

  6. Return to the email you wish to send and click Forward

  7. Add the BCC & forwarding email address in the to field of the email

  8. In the body of the email, remove your signature (if you have one) and add the following information (based on the Contact you are working with)
    #Contact { John Doe <jdoe@example.com> }

  9. Remove any signature in the email you're composing

  10. Click Send

Forwarding

Option Two - Use the first email found in the email body

  1. Click on Settings on the left-hand sidebar

  2. Select Personal Settings

  3. Select Email

  4. Select BCC & Forwarding

  5. Copy the address under BCC & Forwarding

  6. Return to the email you wish to send and click Forward

  7. Add the BCC & forwarding email address in the to field of the email

  8. In the body of the email remove your signature (if you have one)

  9. Click Send


Additional Information

  • Forwarding emails into ET doesn’t work if the signature is above the forwarded body, make sure this is removed before sending.

  • Similarly, if there is text of any kind entered above the forwarded body, the system will treat this like a signature and forwarding the email into ET will not work as expected.

  • For all options, you must use the BCC & Forwarding email located in your settings - do not use your own personal email address as this will have undesired results.

  • If the email address is the same as an existing Contact, the email will automatically be linked to the Contact & their most recent Booking. If a Booking does not exist, a new one will be created.

Troubleshooting Common BCC & Forwarding Issues

If you find that BCC emails are not creating new inquiries or functioning as expected, consider the following troubleshooting tips:

  1. Verify Your BCC Email Address: Double-check that you are using the exact BCC email address provided by Event Temple.

  2. Check Configuration Settings: Ensure the target pipeline and stage for new bookings are correctly set in your account.

  3. Review Existing Bookings: Confirm that the email recipient is not already linked to an existing booking, as a new inquiry will not be created in such cases.

  4. Further Troubleshooting: If all configurations appear correct and the feature is still not working, review your BCC setup for potential misconfigurations or conflicts.

Tips for Effective Use

  • Regularly verify your configuration settings to ensure proper integration.

  • Use the BCC feature strategically to centralize only relevant communications, avoiding email clutter.

  • If issues persist, reach out to Event Temple support for additional assistance.
