The Booking List Report gives you a complete overview of all Bookings in your Organization. It’s one of the most versatile reports in Event Temple — allowing you to view, filter, group, and export Booking data for sales tracking, forecasting, and performance analysis.
How to access this report
From the left-hand menu, select Reports page
Under Reports, Standard Reports tab

How to use this report
Filters
Filters let you narrow down results to specific data. Click Add Filter to choose from a wide range of options.
Common Filters
Filter | Description |
Assignee | Show Bookings assigned to specific users. |
Archived | Include or exclude archived Bookings or choose All |
Booking Origin | Filter based on where the Booking originated, for example Intake form |
Space | Display Bookings with specific event spaces. |
Booking Type | Display Booking Types (Meeting) |
Created At | Filter by when the Booking was first created. |
Definite Date | Date when the Booking was marked as Definite. |
Definite At | Filters Bookings by timestamp when they became Definite. |
Inquiry Date | Filter by the initial inquiry date. |
Lost Date | Date when the Booking was marked as Lost. |
Referral Source | Filter based on where the lead originated. |
Status | Display only Bookings of a specific status (Lead, Tentative, Definite, Lost). |
Tentative Date | Date when the Booking became Tentative. |
Tentative At | Filters based on the exact timestamp of tentative status. |
Upcoming / Past | Quickly toggle between future and past Bookings. |
Updated At | Filter by when the Booking was last edited. |
Booking End Date | Filter based on the Booking’s end date. |
Booking Start / End Date | Combine start and end dates in one range filter. |
Booking Start Date | Filter by when the Booking begins. |
Account | Show Bookings associated with a specific Account. |
Account Type | Filter by type of Account (Corporate, Wedding, SMERF, etc.). |
Contact | Filter by primary Contact name. |
Has Events | Display only Bookings that include Events. |
Commissionable | Filter for Bookings that are marked as commissionable. |
Rebate | Identify Bookings with rebates applied. (Custom Field) |
Has Room Block | Show Bookings that include a Room Block. |
Booking Specific Custom Fields | If your organization uses Picklist, Checkbox, or Date type custom fields for events, these will automatically appear in the filters dropdown. |
Columns
Customize your report by selecting and reordering columns. You can include data such as booking creation / status change dates for example 'Tentative Date' or 'Definite Date', revenue metrics for example 'Catering revenue', or any booking-specific custom fields.
💡 Tip: You can apply multiple filters together — for example:
Show all Definite Bookings with Start Dates in October, assigned to Val Brook, under Corporate accounts.
Or
Show all your inquiries for a 2025 and weather they confirmed with you or not (add 'Created At' column and 'Booking Status' columns
Grouping your data
The Group by field allows you to organize Bookings into categories for better analysis:
Click inside the Group by field at the top of the report.
Choose one of the available grouping options.
The selected grouping will show once exported to HTM or PDF.
Common grouping options
Group By | Use case example |
Status | See totals by Lead, Tentative, Definite, or Lost Bookings. |
Assignee (User) | Compare the number of active Bookings per Sales Manager. |
Market Segment | Review your mix of business — Corporate vs. SMERF vs. Wedding, etc. |
Account Type | Understand your business split between Corporate, Wedding, and other segments. |
Referral Source | See where your leads originate (Website, Referral, Walk-In, etc.). |

💾 Saving a Custom View
Once you’ve applied filters, grouping, and chosen your visible columns, you can save the setup as a custom view.
Click Save View at the top right.
Enter a descriptive name (e.g., Definite Corporate Bookings - Q4 2025).
Choose the accessibility of your report (Private / Organization / Chain - depending on your Role you may not have these options)
Click Save.
Your saved view will now appear under the Saved Reports tab

“Weekly Leads”
“Definite Corporate Bookings”
“Lost Bookings – Wedding Segment”
📤 Exporting the report
To export your Booking List:
Click Export in the top-right corner.
Select your preferred format (CSV or HTML or PDF)
The export will reflect your current filters, grouping, and column selections.
Tick 'Include Summary' box to show a summary row - available for HTML and PDF exports
💡 Tip: Use exports for deeper data analysis, sharing with management, or syncing with your accounting system.
🧠 Best practices
Regularly review Lost Bookings with reasons to identify areas for improvement.
Use Group by Status + Assignee to track team performance.
Filter by Created Date to measure lead inflow per month.
Save multiple custom views for recurring reports like weekly forecasts or monthly summaries.
Combine this report with your Booking Financial Report for full revenue insight.
Important considerations
The Booking List Report can display the Booking Status and the Pipeline Stage. Users should maintain the correct Status, Revenue, and Stage for each Booking, Room Block, and Event for comprehensive data analysis in this report.
The Revenue specified per Booking is Tax Inclusive, when exporting the Report to HTML or PDF you can 'include a summary' at the bottom, which will break down the Subtotals (exclusive of taxes and fees).
When using Start Time/End Time columns, these will only show the time if there is time specified. If you're Booking is "All Day" these columns will be blank.
