Learn about managing companies in Event Temple

In simple terms, an Account is a company or corporation.

Accounts are usually used as a company associated with a Booking for a corporate Event. However, they can also be used to track information for other companies such as travel agents & vendors regularly used for Bookings.

An Account can be a standalone Account, or have parent/child set up. For example: Event Temple (parent account) Event Temple - Vancouver (child account) & Event Temple - London (child account).

An Account can have multiple Contacts associated with it. This is used to easily keep track of the various people at the company.


How to Use Accounts

Locate Accounts by clicking Accounts on the left-hand sidebar.

Add an Account

Like many things in Event Temple, you can add an Account in multiple ways. Below, an Account is being added from the Account page.

  1. Click on Accounts in the left-hand sidebar

  2. Click New Account

  3. Enter the Account Name and any other information available

  4. Click Save

That’s it! You’ve successfully added an account

Edit an Account

  1. Click on Accounts in the left-hand sidebar

  2. Search for the Account

  3. select the Account name

  4. To edit an account, click on the area of the Account you’d like to edit. The relevant pop-up will appear, whether it be a text box, checkmark etc.

  5. Select the tick to Save or X to cancel without Saving

Delete an Account

Be careful, this action is irreversible!

From the Account List

  1. Click Accounts from the Menu

  2. Search for the Account

  3. Click the Down arrow

  4. Click Delete

  5. Click OK to confirm deleting the Account permanently.

Delete multiple Accounts From the Account List

  1. Select the checkbox on the left of the Account (or Accounts, if you'd like to delete several at once)

  2. Select batch action

  3. Select Delete

  4. Click Apply

  5. Confirm you want to delete the Account/s


Account Summary Page

The Account Summary page shows all information associated to the Account. Each section is broken down below.

Account Info

Travel Agent

A Booking can have both a Travel Agent and Account attached. Travel Agents can be reported on separately to Accounts by using the Filter "Travel Agent"

Is Key Account

This will only appear if this feature is enabled for your Organization. Select this to add Key Account Tracking to the Account.

Tax Number

This will appear on Invoices when an Account is linked to a Booking

Account ID/IATA

Add this information to track accounts & travel agents by external identifiers.

Website

Optional contact information, also a merge field.

Email

Optional contact information, also a merge field.

Phone Number

Optional contact information, also a merge field.

Fax

Optional contact information, also a merge field.

Market Segment

Optional information for reporting, also a merge field.

Account Type

Optional information for reporting, also a merge field.

Referral Source

Optional information for reporting, also a merge field.

Address

Optional contact information, also a merge field.

Associations

Organization

Only visible if the Organization is part of a Chain sharing Accounts. This shows which Organization the Account was created in.

Child Accounts

Will only be visible when an Account has been selected to be a Parent Account.

Owner

The Event Temple user to who this Account belongs. This is often used when Sales People manage certain Accounts.

Primary Contact

The main person in relation to the Account.

Parent Account

Gives the user the ability to choose the overarching entity of the Account.

Additional information based on the Account Custom Fields

Contacts sub-tab

A list of all Contacts associated with an Account. Use the checkbox & action button to perform actions on the Contact selected.

Notes sub-tab

Any internal notes related to the Account

Bookings sub-tab

All Bookings the Account is linked to


Tasks sub-tab

All Tasks the Account is linked to

Any attachments related to the Account

Allows you to manage Volume Rates & Room Pickup for the Account.


Important Considerations about Accounts

Only the Account name is compulsory when adding an Account.

When deleting Accounts, any Contacts attached to the Account must first be unattached or deleted.

The first benefit you will get from setting up your parent/child Accounts is that when you are viewing the parent account, you will be able to see all its child accounts and navigate to them quickly (and vice versa). Another benefit of setting parent/child Accounts is when generating your Top Account Report, the Account financials for a parent Account will be aggregated from itself and all its child Accounts.

It is possible to enter multiple Accounts with the same name as needed, however if there is an Account we consider a potential duplicate because of the Account name, you'll receive a notification of a 'potential duplicate'. If you hover over it, it'll show you the name of the Account & Contact.
