Learn about managing guests in Event Temple

All Bookings will need a Contact to be created, the Contact is the person confirming details for the Booking.

Contacts can be part of an Account, for example in corporate Bookings the Contact is an individual who works for that Company or Organization. In other cases, Contacts won't be attached to an account for example for a Wedding Booking.

When a Booking has multiple Contacts, a Primary Contact must be selected and this will be the contact pulled into your documents.


How to Use Contacts

Locate Contacts by clicking Contacts on the left-hand sidebar.

Add a Contact

Like many things in Event Temple, you can add a Contact in multiple ways. Below, a Contact is being added from the Contact page.

  1. Click on Contact in the left-hand sidebar

  2. Click New Contact

  3. Enter the Contact Name and any other information available

  4. Select an Account if applicable*

  5. Click Save

*If linking a Contact to an Account, you can then copy the Email, Phone Number & Address from the Account to the New Contact.

Edit a Contact

  1. Click on Contacts in the left-hand sidebar

  2. Search for the Contact

  3. Select the Contact name

  4. To edit a contact, click on the area of the Contact you’d like to edit. The relevant pop-up will appear, whether it be a text box, checkmark etc.

  5. Select the tick to Save or X to cancel without Saving

Delete a Contact

Be careful, this action is irreversible!

From the Contact

  1. Click on the Actions drop list on the right-hand side

  2. Select Delete

  3. Confirm you want to delete the Contact

From the Contact List

  1. Click the dropdown arrow on the right-hand side of the contact

  2. Select Delete

  3. Confirm you want to delete the Contact

Delete multiple Contacts From the Contact List

  1. Select the checkbox on the left of the Contact (or Contacts, if you'd like to delete several at once)

  2. Select batch action

  3. Select Delete

  4. Click Apply

  5. Confirm you want to delete the Contact/s


Contact Summary Page

The Contact Summary page shows all information associated to the Contact. Each section is broken down below.

Contact Info

First Name

Required to create a contact

Last Name

Required to create a contact

Email

Optional contact information, also a merge field.

Phone Number

Optional contact information, also a merge field.

Job Title

Optional contact information, also a merge field.

Address

Optional contact information, also a merge field.

Account

Account

If the contact is linked to an account the information for the account will be able to: Link, Create or Update from this section.

Other Fields

Additional information based on the Contact Custom Fields

Notes sub-tab

Any internal notes related to the Contact

Emails sub-tab

All Emails the Contact is linked to

Bookings sub-tab

All Bookings the Contact is linked to


Tasks sub-tab

All Tasks the Contact is linked to

Any attachments related to the Contact


Important Considerations about Contacts

Only the Contact name and last name are compulsory when adding a Contact.

An email address can only be used once - multiple Contacts cannot have the same email. If you attempt to add a duplicate Contact with the same email, a notification will appear advising "Email has already been taken".
