Connect Your Email

Connect your own email to send and receive directly in Event Temple. Keep communications synced to Contacts and Bookings.

๐Ÿ“ง Default Email

Every Event Temple user is assigned a system-generated email address.

  • You can send emails from Event Temple using this address.

  • Replies go to your login email inbox, but do not sync back into Event Temple.


๐Ÿ’ผ Email Integration

Connect your own email (Gmail, Office 365, Exchange, or another provider) to:

  • Send and receive emails directly in Event Temple

  • Automatically log replies inside Bookings and Contacts

Note: Your login email and your connected email do not need to match.

How to Connect Your Email

  1. Go to Settings โ†’ Personal Settings โ†’ Email

  2. Click Disconnect to remove Event Templeโ€™s default email

  3. Select My own email provider

  4. Enter your email address and click Authorize

  5. Sign in using your email credentials

  6. For Exchange or other independent providers, enter SMTP and IMAP details (ask your IT team if unsure)


๐Ÿ”„ Sync Behavior

  • Emails sent from Event Temple appear in your Sent folder

  • Replies to those emails sync to Event Temple

  • Direct emails sent from your email provider do not sync

  • Replies to those outside emails also do not sync

  • Emails sent from a Booking will sync replies to both the Booking and Contact

  • Emails sent elsewhere will sync replies only to the Contact


๐Ÿ‘ฅ Shared Email Addresses

If multiple users connect the same email address, only the first user will receive synced replies.
๐Ÿ‘‰ Each user should connect their own email address for accurate syncing.


Email Signature

  1. Go to Settings โ†’ Personal Settings โ†’ Email โ†’ Email Signature

  2. Add your signature details

  3. Click Save


๐Ÿ“ฌ BCC & Forwarding

You can log external emails in Event Temple using a BCC address.

  • Emails are logged under the most recent Booking tied to the senderโ€™s email

  • If no Booking exists, a new one is created in the selected stage


โš™๏ธ Other Settings

  • Daily Email Limit: Controlled by your email provider

  • Track Email Opens: Disabled for GDPR compliance (leave unchecked if in Europe)

  • Security Settings: If your organization requires app approvals, follow your IT teamโ€™s steps


๐Ÿง  Sync Details

Email sync triggers when you:

  • View a Contact or Booking Summary page

  • Open the Mail section in the sidebar

๐Ÿ’ก Sync runs every 15 minutes. To see updates sooner, refresh your tab.


๐Ÿšซ Avoid Sync Issues

  • Only one user should connect per email address

  • Avoid linking the same email to multiple Event Temple accounts


๐Ÿ—“๏ธ Email Retention

Synced emails are stored in Event Temple for 2 years, after which they are permanently deleted.


๐Ÿ”„ Update Your Login Email Address

To change the email linked to your user account:

1. Add Your New User Account

  • Go to Settings โ†’ Users & Roles

  • Click + New User and enter the new email address

  • Assign roles and permissions as needed

2. Deactivate the Old User Account

  • In Users & Roles, locate the old account

  • Click Deactivate and confirm

3. Reassign Bookings and Records

  • Single Booking: Open the booking and update the assignee

  • Multiple Bookings: Use the Bookings List โ†’ Batch Action Menu to reassign in bulk

Note: Deactivation does not transfer active tasks. Reassign them manually.
