How to block spaces that combine

If you have Spaces that can combine, or split up you can use Blocked Spaces to show them blocked on the Event Diary and get a warning when you try to book a Space that is blocked by another Space (or prevent another Booking entirely).

You can achieve this by assigning a list of blocked Spaces to any of your Spaces in the system.

How to Use Blocked Spaces

For example, imagine you have a space called Dining Hall that can be broken down to 4 smaller sub-spaces: A, B, C, and D.

There are 3 ways that Spaces can work

  • Individual Spaces (eg Dining Hall A)

  • Combination Spaces (eg Dining Hall A+B)

  • Parent Space (eg Dining Hall, which blocks all individual & combination spaces)

Add Spaces

Add each individual Space & the parent Space.

If you have combinations of individual Spaces, for example Dining Hall A+B or Dining Hall A+B+D these will also need to be added as separate Spaces.

Block Individual Spaces

Once you have all of your Spaces added, edit the first Individual Space, ensuring that any Space it is linked to is selected as a Blocked Space. In the example below, Dining Hall A is part of the Dining Hall, Dining Hall A+B & Dining Hall A+B+D.

Each time Dining Hall A is booked as an individual Space, its blocked Spaces will also be blocked.

Repeat this process for each of the Individual Spaces

Block Combination Spaces

These work the same way as above. Repeat the above process by adding any used Space within the combination. In the example below, Dining Hall A+B+D will block Dining Hall A / B / D / A+B & the Dining Hall are all blocked as well.

Block the Parent Space

Lastly, you'll need to Block all individual Spaces and any combination Spaces on your Parent Space. This means if you book the parent space, any spaces selected here, will also be blocked when the Parent Space is Booked.

How to Prevent Space Conflicts

  1. Go to Settings

  2. Click Organization

  3. Choose Preferences

  4. Select the Space sub tab

  5. Edit Space Conflict

  6. Choose Prevent and Save

    1. You can choose to prevent Conflicts with Lead Status Events also by clicking the Slider

Important considerations about Blocked Spaces

To show the spaces blocked on the Event Diary, ensure "Show excluded spaces" is selected. It will then show any blocked Spaces in Grey.

This can be selected by default:

  1. Go to Settings

  2. Click Organization

  3. Choose Preferences

  4. Select the Calendar sub tab

  5. Click Edit

  6. Click Show Excluded Spaces and Save
