When orders from Shopify fail to sync to Everspring, it can be frustrating and may disrupt your business operations. This issue can stem from several common problems related to product data and system configuration. To ensure smooth order transmission, here’s a short checklist that retailers can follow:

1. Verify the SKU Consistency

Ensure that the SKU (Stock Keeping Unit) of the product has not been changed and still matches the product ID in Everspring. The SKU is found directly on the product details page in Shopify. SKU discrepancies are a common reason for sync failures.

2. Check the Vendor Field

The vendor field in Shopify, also located on the product details page, should be set to "Everspring" and must not be altered to the retailer’s name or any other value. This field helps identify the product source and is crucial for proper order routing.

3. Confirm Product Availability in Everspring’s Catalog

The product must still be present in the retailer’s catalog on Everspring. If a product has been removed or is not listed, orders containing that product will not sync.

4. Ensure Product Stock Availability

The product must be in stock on Everspring. An out-of-stock status can prevent order syncing, as the system recognizes it cannot fulfill the order.

5. Address Modifications in SKU or Vendor Fields

If there have been any changes to the SKU or vendor fields while the order was being placed, it's possible that the order will fail to sync. In such cases, the order may need to be manually recreated to ensure accuracy and completeness.

6. Look for Explicit Error Messages

Be aware of any clear error messages that might indicate missing or incorrect information. Common issues include mandatory fields being left empty (e.g., first name, last name, street name, house number, email) during the order entry process. Additionally, ensure that the house number is not included in the same field as the street name to avoid data parsing errors.

Steps to Follow if Orders Are Not Syncing

  • Review the Order Details: Check each order for accuracy in the product details, customer information, and inventory status.

  • Check System Alerts: Look for any system-generated alerts or error messages that might give clues about the syncing issue.

  • Update and Resync: After making necessary corrections based on the above checklist, try resyncing the orders. If automatic resync fails, consider manually creating the order in Everspring.

  • Consult Support: If problems persist, it might be beneficial to consult Everspring's support team for further diagnostics and assistance.

By regularly checking these aspects, retailers can minimize disruptions and ensure that orders from Shopify smoothly transition into Everspring’s system, maintaining operational efficiency and customer satisfaction.
