Overview
The Alerts page is the first screen you see when you log into FileTrac. It serves as your daily command center — showing system messages, reminders, and a configurable set of alert widgets in the left sidebar that surface the claims and tasks requiring your attention right now.
This article covers every element on the Alerts page, including the full list of alert types available in the Select Alert sidebar.
Top-Bar Controls
At the top of the Alerts page you will find three controls that affect which claims appear in the dashboard.
Show All Branches — a checkbox that, when enabled, displays alerts across every branch in your system. When unchecked, alerts are filtered to your assigned branch only. Administrators and multi-branch users will use this toggle frequently.
View filter — a dropdown that controls whose claims appear (for example, "View MY Open Files" limits the dashboard to your own assigned claims, while other options let managers and admins view all open files or files by branch).
Search — a text field and Search button that let you quickly find a specific claim by file number, insured name, or other criteria without leaving the Alerts page.
System Messages and General Messages
FileTrac System Messages appear at the top of the main content area. These are important platform-wide announcements posted by Evolution Global — for example, scheduled maintenance windows, new feature releases, or known issues. System Messages are read-only and cannot be cleared by individual users.
FileTrac General Messages are company-level announcements posted by your organization's administrators. They include a date stamp and a Clear option so you can dismiss them once you have read them. If your admin has posted multiple messages, clear them regularly to keep the dashboard tidy.
FileTrac Reminders
Reminders are user-created follow-up notes tied to a date and time. You can create reminders two ways: from the Alerts page itself using the Add General Reminder button, or from within a claim's Notes section. Reminders appear in the sidebar under FileTrac Reminders and are visible by default for today's date.
The Alerts page provides three actions for reminders: View FUTURE Reminders (to see upcoming items), Select ALL (to select every reminder on the list), and Clear Selected Reminder(s) (to dismiss completed items). You can also edit or clear individual reminders one at a time.
Select Alert Sidebar — Full Reference
The left sidebar of the Alerts page contains the Select Alert box. Clicking any alert type loads the matching list of claims into the main content area. The available alert types are listed below. Not every user will see every alert type — your administrator configures which alerts are enabled for each role.
FileTrac Reminders — Displays your current reminders (today and past-due). Use View FUTURE Reminders to see upcoming ones.
Review Queue — Lists claims that are in "Ready for Review" status. Reviewers use this alert to see which claims are waiting for their review before a report can be finalized.
Reviewer Workload List — Shows each reviewer's current workload — how many claims they have in review, average days in queue, and overdue items. Managers use this to balance review assignments.
HOVER Capture List — Displays all open claims that have a HOVER Capture request in progress. Shows the current capture status (Pre-Approved, In Progress, Complete) so you can track which properties have aerial imagery ready for use.
Claims Over 5 Days — Lists claims that have been open for more than five days and still require an Inspection Status Report. This alert helps adjusters and supervisors catch claims that are falling behind the expected inspection timeline.
Contact Required — Shows claims with a status of "Contact Required," meaning the insured or another party needs to be reached before the claim can move forward. Adjusters should check this alert daily to avoid unnecessary delays.
Status Due Today — Lists every claim that has a status report due on today's date. This is one of the most important daily alerts for adjusters — it tells you exactly which files need a status update before end of day.
Recent Reports by Status — Displays reports grouped by their current status, excluding reports that are already Closed, Printed, or Status Printed. Use this to see which reports are still active and what stage they are in.
Reports for Review (DRAFT Status) — Lists reports that are in DRAFT status and waiting to be reviewed. Reviewers use this alert to identify reports that need attention before they can be approved.
Reports for Review (In Review Status) — Lists reports that have been submitted for review and are actively being reviewed. This helps track which reports are in the review pipeline.
Reports Listing (DRAFT Status) — A broader listing of all reports currently in DRAFT status across your claims, regardless of whether they are flagged for review.
Reports Listing (In Review Status) — A broader listing of all reports currently in "In Review" status across your claims.
Reports Posted — Shows reports in "NEW" status that are aging — meaning they have been posted but not yet advanced to the next step. Monitor this alert to ensure posted reports do not sit idle.
Pending Assignments — Displays the list of claims that have been assigned but not yet accepted by the adjuster. If your organization uses the "Adjuster Must Accept or Reject Assignment" feature, this alert shows which assignments are still waiting for a response.
Response Requested from Others — Shows comments or notes where someone has requested a response from you. Items appear in red when unread and green when read. Always click Mark as Read after reviewing a response request so the sender can see you have acknowledged it.
Adjuster Workload List — Displays each adjuster's current workload summary: number of open claims, average days open, and count of overdue claims. Managers and supervisors use this alert to monitor team capacity and rebalance assignments when needed.
Tips for Using the Alerts Page Effectively
Start each day by checking Status Due Today and Contact Required — these two alerts represent the most time-sensitive items in your queue. After addressing those, review Pending Assignments and Response Requested from Others to make sure nothing is waiting on your action.
If you see a message that says "You Have No Alerts Configured," contact an administrator within your organization to have your alert types enabled. Alert visibility is configured per user role in the system settings.
