New Claim — Assignment Section

How to assign a Manager, Supervisor, Reviewer, and Adjuster on the New Claim form, including SMS alerts, auto-assignment, Accept/Reject workflows, and SIMSOL import files.

Overview

The Assignment section on the New Claim form controls who is responsible for the claim at every level of your organization. You can assign a Manager, Supervisor, Reviewer, and Adjuster — each with optional automation features such as SMS alerts, auto-assignment based on the adjuster's hierarchy, email notifications, and integration with SIMSOL estimating software.

Assign Manager

Manager dropdown — Select the claims manager responsible for overseeing this claim. The dropdown lists all users with the Manager role in your branch.

Automatically Set to Adjuster's Manager — Check this box to have Evolve automatically populate the Manager field based on whichever adjuster is assigned below. When enabled, changing the adjuster also updates the manager. This is useful when your organization follows a strict adjuster-to-manager hierarchy.

SMS Text New Claim Alert to Manager — Check this box to send an SMS text message to the assigned manager's mobile number when the claim is created. The manager receives an immediate notification with basic claim details.

Assign Supervisor

Supervisor dropdown — Select the supervisor for this claim. Supervisors typically provide day-to-day oversight of the adjuster's work.

Automatically Set to Adjuster's Supervisor — Similar to the manager auto-set, this populates the Supervisor field based on the adjuster's configured supervisor in the Personnel Manager.

SMS Text New Claim Alert to Supervisor — Sends an SMS notification to the supervisor when the claim is created.

Assign Reviewer

Reviewer dropdown — Select the person responsible for reviewing the adjuster's reports on this claim. The reviewer receives reports in their Review Queue on the Alerts dashboard.

Automatically Set to Adjuster's Reviewer — Auto-populates the Reviewer field based on the adjuster's configured reviewer.

Send Assignment Notification Email to Reviewer — Check this box to email the reviewer when they are assigned to the claim. The email includes the claim number and basic loss details.

Assign Adjuster

Adjuster dropdown — Select the field adjuster who will handle the claim. The dropdown displays each adjuster's name, current claim count, and branch — helping you balance workload when making assignments.

Below the Adjuster dropdown, several options control how the assignment is communicated and processed:

Display prominent yellow note on Manage Claim screen — Check this box to attach a high-visibility note to the claim. When enabled, a yellow note textarea appears (up to 1,000 characters). This note displays prominently on the Manage Claims grid so anyone viewing the claim list sees it immediately. Use this for urgent instructions, special handling requirements, or time-sensitive information the adjuster must see.

Adjuster Must Accept or Reject Assignment — Check this box to require the adjuster to explicitly accept or reject the claim assignment. Until the adjuster responds, the claim shows an Accept/Reject status in the system. If the adjuster rejects the assignment, the claim returns to the assigner for reassignment.

Send Adjuster SIMSOL Import File — Check this box to automatically generate and send a SIMSOL import file to the adjuster when the claim is created. This pre-populates claim data in the SIMSOL estimating application, saving the adjuster from manual data entry when preparing estimates.

SMS Text New Claim Alert to Adjuster — Sends an SMS text message to the adjuster's mobile number notifying them of the new assignment.

How Auto-Assignment Works

The three "Automatically Set to Adjuster's..." checkboxes (Manager, Supervisor, Reviewer) pull their values from the adjuster's profile in the Personnel Manager. When you select an adjuster and these boxes are checked, Evolve looks up the adjuster's configured Manager, Supervisor, and Reviewer and fills those fields automatically. This ensures claims follow your organization's chain of command without manual selection of each role.

If the adjuster's profile does not have a Manager, Supervisor, or Reviewer configured, those fields remain blank even with auto-assignment enabled. Make sure adjuster profiles are complete in the Personnel Manager to take full advantage of this feature.

Tips

  • The adjuster dropdown's claim count helps you distribute work evenly. If two adjusters cover the same territory, pick the one with fewer active claims.

  • SMS alerts require that the recipient has a valid mobile number configured in their Personnel Manager profile. If the number is missing, the SMS will not send — no error is displayed on the claim form.

  • The yellow note is visible to everyone with access to the Manage Claims grid, not just the assigned adjuster. Use it for information that benefits the entire claims team.

  • Accept/Reject assignments are especially useful for catastrophe (CAT) deployments where adjusters may be unavailable or already at capacity.
