Overview
The Personnel Manager is the central hub for managing every user account in your Evolve environment. From this page you can add new users, update roles and contact details, control notification preferences, link personnel to Evolve, and perform bulk updates across multiple records. The interface features a powerful search and filter bar at the top and a paginated personnel list below.
Search and Filter Bar
The filter bar across the top of the page lets you narrow the personnel list quickly. The available controls are:
Type dropdown — Filter by personnel type (default: Employees).
Status dropdown — Filter by account status (default: Active).
ALL dropdown — A combined filter that can narrow results by additional criteria.
Can Login dropdown — Filter by whether the user has active login access.
Last Name / First Name text fields — Type a partial or full name and click Search to find specific personnel.
All Roles dropdown — Filter by a specific user role (see the User Role column below for the full list).
Additional controls in the filter bar include an advanced filter toggle icon that reveals more filtering options, a Reset All Fields link that clears every filter back to defaults, an Add User icon (a person silhouette with a plus symbol) for creating new personnel records, and a notification bell icon for managing alert preferences.
Personnel List Columns
Below the filter bar, the personnel list displays matching records in a table. Each row represents one user and includes the following columns:
Employee — The user's full name, city and state location, and phone number. If the user's credentials or license have lapsed, the row displays an Expired label in red or a Pending Expired label in orange to flag the issue.
User Role — The permission level assigned to this user. Possible roles include ADMIN, Adjuster, Clerical, BranchAdmin, ReadOnly, AdminClerical, and SrAdjuster. Each role controls which pages and actions the user can access.
Linked to Evolve — Shows LINKED if this personnel record is connected to a corresponding Evolve account, or blank if no link exists. See Linked to Evolve below for details.
Email / Notification checkboxes — Multiple checkbox columns that control which automated email notifications this user receives. Administrators can toggle individual notification types on or off per user.
Bulk Update — A checkbox used to select this row for bulk operations. Check one or more rows and then apply a bulk action to update multiple personnel records at once. See Bulk Update and Pagination below.
Linked to Evolve
The Linked to Evolve column indicates whether a FileTrac personnel record is connected to a corresponding account in the Evolve platform. When a record shows LINKED, the user's profile data, assignments, and activity can sync between the two systems. This is essential for organizations that use both FileTrac and Evolve, because it ensures that adjuster records, contact details, and assignment data remain consistent across platforms without manual duplication.
If the column is blank, the personnel record exists only in FileTrac. To establish a link, open the user's profile and use the Evolve linking controls to connect it to the matching Evolve account.
Bulk Update and Pagination
The Bulk Update checkbox on each row lets you select multiple personnel records and apply changes in a single operation — for example, updating notification preferences, toggling login access, or changing a role across several users at once. Check the boxes for the records you want to modify, then use the bulk action controls to apply the update.
The personnel list is paginated to keep the page responsive. Navigation controls at the bottom include First, Prev, numbered page links, Next, and Last. You can also change the page size (the default is 20 records per page). A total count display — for example, "30 items in 2 pages" — tells you how many records match your current filters.
Tips
Use the Status dropdown set to Active to focus on current staff. Switch to another status to review deactivated or suspended accounts.
The Expired and Pending Expired flags in the Employee column are visual alerts — address these promptly to avoid compliance gaps.
When onboarding a new adjuster, create the personnel record here first, assign the appropriate role, configure notification checkboxes, and then link the record to Evolve if your organization uses both platforms.
Use the Can Login filter to quickly audit which personnel currently have system access.
