Overview
FileTrac uses two classification systems for claim notes: Note Categories and Note Types. Together, they organize every note attached to a claim so that users can filter, search, and report on notes by purpose and classification. Both settings are found in the General Setup column on the Settings page.
Note Category Setup
Note Categories define the high-level purpose of a note. When a user creates a note on a claim (whether through the claim record or via the Quick Notes Popup), they select a category to indicate what the note is about.
Navigate to Settings → General Setup → Note Category Setup to manage categories. Common note categories include: Client Update, Collections, Communication with Adjuster/Attorney/Client, and others specific to your organization's workflow. You can add new categories, edit existing ones, and set display order.
Note Type Setup
Note Types provide a second classification dimension for notes. While categories describe what the note is about, types describe the nature of the note — for example, whether it is an internal memo, a client-visible update, a phone call summary, or an email record.
Navigate to Settings → General Setup → Note Type Setup to manage types. You can add new types, edit existing ones, and control display order. Note types appear as a dropdown in the note creation form alongside the category dropdown.
How Categories and Types Work Together
When a user creates a note, they select both a category and a type. This two-dimensional classification enables powerful filtering — for example, a supervisor can filter a claim's notes to show only "Client Update" notes of type "Phone Call" to review all client phone communications. The category and type fields also appear in note-related reports for analysis and compliance tracking.
Tips
Keep categories focused on the subject of the note and types focused on the medium or format — this prevents overlap and makes filtering intuitive.
If your organization uses the "Default notes as Visible to Client" workflow setting, review your note categories to ensure that categories intended for internal use are not accidentally exposed.
Standardize your category and type lists across branches to ensure consistent note classification in multi-branch environments.
