Static fields allow you to create fixed values when mapping ExpenseIn's fields to your accounting package. This can be useful when you need data that cannot be retrieved from the transaction, such as a fixed bank account code or supplier reference that applies to all transactions being posted.

There are two types of static fields available:

  • Text field

  • Date field

To create a static field, follow the steps below:

1. Click the Account Name > Admin.

2. In the Integrations section, click the Accounting subheading.

3. Click the Edit icon next to your accounting package connection, or click the three dots icon and select Mapping from the drop-down.

4. Click Edit Static Fields, found under the accounting package logo in the mapping screen.

5. Click New Field and select the static field type you want to create from the drop-down.

Text Field

1. Enter the details for the static text field as required.

  • Name - enter a name to help you identify the static field when setting up your integration mapping.

  • Value - enter the value that matches the relevant field in your accounting package.

2. Click Create.

Date Field

1. Enter the details for the static date field as required.

  • Name - enter a name to help you identify the static field when setting up your integration mapping.

  • Value - use the date picker to select a static date to post against the relevant field in your accounting package.

Note: If you need to change your static date value for future postings, you'll need to edit your static field manually.

2. Click Create.

How to use a static field

Once you've finished creating your static field(s), you can return to the integration mapping screen by clicking Back to Settings.

Your static field(s) will now display at the bottom of the drop-down list against each of the applicable mappable fields for you to select as a mapping option.
