Useful article for agencies, or activation managers wondering how assets work

Campaigns are made up of assets being delivered (ie. POS) and/or staff (ie. a bartender/merchandiser coming to the venue).

So that we can accurately keep track of availability, and ensure no mistakes are made from dual control of assets, we:

- first load all assets or staff into the inventory available by the agency
- then they can be added into any campaign by the brand

This means that you could have the same asset in more than one campaign, and availability will be still accurate.

How to add assets into the inventory

-Assets should be added by the agency who wants to receive the delivery request

-Go to asset management by clicking 'Asset' on the menu

-Click 'Add asset' to open the modal

-Fill in the required fields*

Asset Type

Here you can select the type of asset. If you select Digital, the image you upload will be available on the profile for download from the digital tab. *See more below

Total number in stock: This dictates the availability of a campaign.
โ€‹Note: We recommend that once an asset is added on to Experience This, it is not bookable offline so as to keep this number up to date. We recommend you portion off assets for offline use - if you do use an ET one offline, you will need update the quantity here.

Image: Please note these show on the profiles. We recommend 350 x 350 pixels and a universal style so it looks great. We love white backgrounds and clear solo product shots - ie. from a POS catalogue rather than from in venue.

Key contact name: This is the person who will receive the delivery request for this asset. Ie. Usually needs to be the central email address for the agency (This is why we get to the agency to add them so the info is accurate). You can select this person from a drop down - you will only be able to add signed up users from your company account.

Asset owner: This should be the brand owner who owns the assets. Your selection here dictates which brand supplier can use these assets. They will then be able to use these in campaigns.

How to edit assets

-Go to asset management by clicking 'Asset' on the menu

-Click on the asset you want to edit to open the modal

-Change the details

-Save

How to delete assets

We don't let you delete assets off platform so as to avoid any issues with the campaigns they are used in.

If you want to delete an asset, change the name to have 'Delete' in the title and then drop us a note on the IM widget to delete it for you. We will follow the steps to make sure its deleted safely.

How are assets used in campaigns

Once you select the 'Asset owner' for the asset, it will show up in the asset management section for the brand users.

The brand user will be able to see the info, but will not be able to edit it.

When the brand user (Activation managers typically) create campaigns, they can choose from any assets in their inventory to be added into the campaign.

They can choose how many go into a kit and whether its 'optional' (ie. it doesn't dictate the availability of the campaign). They can also upload a CSV with specific assets allocated to specific venues for that campaign.

If asset changes are allowed, the user will be able to see what is available and edit the kit in the booking form. They will also be able to book the kit even if all assets aren't available.

These assets show up on the profiles under 'What's included'

Any digital assets you have added will be available for download on the Digital tab.

The Key contact name that you have chosen for the asset will receive a delivery request - once the campaign is requested.

Note: This means that if you have used different key contacts for different assets used, the delivery requests will be split appropriately and each contact will receive the request for their asset.
