A useful guide for agencies looking to add staff (ie. bartenders) into a campaign

How to add staff

Staff should be added by the agency who wants to receive the staffing request

  • Go to staff management by clicking 'Staff' on the menu

  • Click 'Add staff' to open the modal

  • Fill in the required fields*

*The most important are:

  • Total available: This dictates the availability of a campaign.
    โ€‹Ie. If you put 2 - once 2 are booked out on the same day, it will go out of stock.

  • Image: Please note these show on the profiles. We recommend 350 x 350 pixels and a universal style so it looks great. We have white backgrounds and stock images for staff if you don't have your own.

  • Key contact name: This is the person who will receive the staffing request for this staff type Ie. Usually needs to be the central email address for the agency (This is why we get to the agency to add them so the info is accurate). You can select this person from a drop down - you will only be able to add signed up users from your company account.

  • Brand owner: Your selection here dictates which brand supplier can use these assets. They will then be able to use these in campaigns.

How to edit staff

  • Go to staff management by clicking 'Staff' on the menu

  • Click the staff you want to edit to open the modal

  • Edit in the required fields

  • Save

How to delete staff

  • We don't let you delete staff to avoid any issues with the campaigns they are used in.

  • Change the name to have 'Delete' in the title and then drop us a note on the IM widget to delete it for you. We will follow the steps to make sure its deleted safely.

How they can be used by brands in campaigns

  • Once you select the 'Brand owner' for the asset, they can choose for the staff allocated to be added into a campaign.

  • They can choose how many go into an activation (only as many as you have available).

  • The staff chosen show up on the profiles under 'What's included'

  • The Key contact name that you have chosen for the asset will receive a staff request - once the campaign is requested.

  • Note: This means that if you have used different key contacts for different staff, the staff requests will be split appropriately and each contact will receive the request for their asset.
