How to reschedule bookings, before and after confirming

This guide will walk you through how to change booking dates, whether it's before or after you've confirmed a booking.

Before you accept a booking:

After you have confirmed a booking;

Before you have accepted a booking, you can change the dates:

  1. By email

2. From the booking request dashboard

You have 2 options here;

For single bookings

  • Click the booking you want to change

  • Scroll down to 'What you need to do'

  • On each task, there is a date with a folder icon next to it

  • Click the folder to open the pop-up

  • Choose a new date and click save

  • Once you have completed this for all relevant tasks, you can accept the booking.

  • The venue will get a confirmation email with the new details.

For mass confirming multiple bookings

  • Click Multi Select, then either choose Select All or manually pick the venues you want to confirm.

  • Click Confirm. A pop-up window will appear where you can select the dates you plan to deliver.

    Note: Any changes you make will apply to all selected bookings.

When should you communicate to the venue?

If you are changing the date of a live event, we recommend you call them first to check and align on the date.

If you are changing the date of delivery, it's probably not necessary unless its a really significant change (ie. months later or after the date of an event they are required for).

Changing the dates for Confirmed Requests

When a booking has been confirmed, go Manage, Booking Requests and find the relevant booking. Click to open it and navigate to the Edit to the Calendar menu and search for the booking.

Depending on the settings for the campaign, you will be able to select new delivery times and/or dates for the booking.

If you are the only facilitator of the campaign, you will not be limited by any availability restrictions. Please ensure you and the relevant assets are available on the dates chosen.

After these selections are made, the booking will go through the confirmation process with any involved agencies. Once all stakeholders have approved, a final confirmation will be sent to the customer.
