This checklist will guide you through all the information you need to send us to get set up on Experience This.
In this article we will cover;
Importing your key data
Customer Masterfile:
This document imports your Customers into the platform - populating the venues on the Book menu for which teams can book campaigns.
It provides us with information such as the;
venues unique ID
venue name and address: this populates shipping details at check-out
If they are part of a group: used for targeting, or setting up group accounts
venue type - this gives you the option to be able to categorise venues and therefore target them for specific campaigns. For example; Gold, Sliver, Bronze
sales territory - so we can match the venue to the sales rep's territory and show it as one of their accounts
sales territory region - providing a further layer of grouping the territories
You can download the template on the dashboard and then send it to us at info@experiencethis.co
Alternatively, you can add venues on to the platform one by one.
Stock List:
In this section you can download the template to send us your SKU list. We import this into the platform to populate the stock dropdowns.
For example, Customer Marketing can set a recommended stock order which sales/the venue must agree to when ordering. This calculates a pre ROI.
Sales/Venues/Agencies can also use this to calculate a post-event ROI when they input the uplift of cases/kegs.
It's important therefore to provide an average GP for your channel in this data set.
Agencies & Warehouses:
To onboard your agencies, we just need a name and a contact email address. Introduce us via email and we will get them trained and onboarded. It's helpful to do this early on to allow time for onboarding and tailoring the tech to their needs.
Create Campaigns
When you create a campaign, you put together a profile consisting of physical and digital assets, and staff. First, we therefore need to populate the right inventories.
Asset Inventory
Assets can be added individually through the platform, however for bulk imports of assets please send these to us using the template provided. The template shows what information is required, such as;
Asset name
Total in stock: which affects availability
Asset code
Agency contact details
Asset image: which shows on profile
Event Staff List
The staff section is for adding staff that will be used in campaigns, such as brand ambassadors. Similar to assets, staff can be added individually or you can download the template and send it to us for a bulk import.
Campaign Data
Send us your campaign toolkits and calendars and we will assist you in getting them set up on the platform.
Onboard Users
As mentioned on the platform, we recommend adding Admin Users to the platform first, so they can get the info mentioned above, and their campaigns set up before adding the General Users.
An Admin User has a higher level of access and can edit campaigns and budgets. This is usually used for Customer Marketing Managers. General Users are usually for sales reps, who use the system for booking only.
The information included in the template that we need is;
User name
User email
Role - e.g. Admin or General
Team and Territory - which may have already been captured in the Masterfile
The template can be sent to us for a bulk upload, or users can be added individually on the platform. They receive their log-ins by email and can access relevant training videos on the home dashboard.
Groups
Customer groups need to be set up as and when requested so that you can have 1 email for multiple venues. If you want to add any individually, please fill out this form.
