How to set up registries to be used in observations and audits

Falcony has an add-on feature that allows declaring registries that contain records. A registry could, for instance, consist of products, suppliers, orders or any other data that should be made available in Falcony. A registry can be managed in a few ways:

  • Manually via Excel imports

  • Through our registry API

  • Through a custom integration

Registry management allows admins to see and control their registries via Excel imports. A registry consists of records that are identified with a name. A record can also contain additional fields that provide more information.

Registries can be utilised in observations and audits with the Registry question type. This allows the user to answer a question by selecting a record from the registry. Once the audit or observation is completed, the selected record's name will be displayed as the answer.

Visibility to an answered record
Admins will always be able to open an answered record for closer inspection of its fields. Regular users cannot open the record unless the Show fields to administrators only option is disabled on the registry edit page. Be cautious of disabling this option, if the registry fields contain sensitive information.

Sometimes a registry question is used in an observation template that is being used in open link reporting. Such use case requires setting the registry to allow public access on the registry edit page. By default registries are private, ensuring no confidential data is available to third parties.
