When an audit has been created you may add an Audit observation template to it. Audit templates that do not have audit observation templates don't provide the auditor the possibility of adding observations to the audit.
Audit observation templates function very similarly as reactive observation templates, meaning that you can add observation questions and organise them into groups, as well as define follow-up actions. The audit observations can also be assigned to one or more users, and it is possible to set default assignees and default deadlines to them.
Reporting, view, and edit rights for audit observation templates are set from user and role settings.
Creating an audit observation template
From the Administration -page, go to Audit observation templates.
Create a new template by clicking the plus -sign in the top right corner of the page.
Name your new audit observation template and select a suitable icon for it.
Allow reporter to specify the observation title forces the auditor to create a title for the observation. If not selected, the audit observations will be generically named according to the category name.
Require observations of this category to have follow-up actions marks all observations of this audit observation template as Open until the assignee marks it as Closed. If follow-up actions are forced, you may set a default deadline for these observations.
Adding questions to audit observation templates
An empty audit observation template will not contain any questions for the auditor to fill in, but as standard there is space for the auditor to add photos and other attachments.
To add questions to the template, first click Add group, name the group, then add questions from your question list to that group.
You can add as many groups and questions as needed to the template. Follow-up questions function in the same way as they do with reactive observations.
PLEASE NOTE that the audit observation template applies to an entire audit as a whole, meaning that all questions added to the template will appear when adding an observation to any question. It is not possible to add section or question -specific audit observation templates.
Assigning an audit observation template to an audit template
When the audit observation template has been created, you may assign it to the audit template. From the Administration -page, go to Audit templates. From the list of audit templates you can easily see which audit templates have audit observation templates attached to them by viewing the Speech bubble -icon on the row.
Select the audit template you wish to add an audit observation template to, then go to Settings. Underneath the template name is a selection box, from which you can choose what

PLEASE NOTE that it is not possible to change the attached audit observation template if there are ongoing or completed audits using the template. We recommend that you add a unique audit observation template for each audit template, so that it becomes easier to make changes that only apply to a specific audit template.
