Export Data for Importing into Famly

This article will guide you through how to export data from your previous childcare software provider to import into Famly

Data required to export in order to import into Famly

Importing your data from your previous childcare software provider into Famly is easy! If you're unsure of the data types you're able to upload to Famly, take a look at our sample data file here:

Please note that some fields on this file are mandatory and all relevant child and contact information and must be added in order to successfully complete your import. You can configure the date format to match that of the file you're importing:

Mandatory data for children includes:

  • Child's First Name

  • Child's Last Name

  • Gender (M/F)

  • Room

  • Birthday

  • Start Date

Additional Data for Children (if available) includes:

  • Nationality

  • Language

  • Birthplace

  • Leaving Date

Once you've exported the required data from your previous childcare software provider, you can import it to Famly by clicking on Children in your sidebar, then the Import button

Export from Procare

  1. Login to Procare

  2. Select Family Data & Accounting from the top navigation menu

  3. Select Reports from the menu

  4. Select Data Viewer

  5. Select Family Data

  6. Select Child Relationships

  7. Select Create

  8. Select the arrow next to Export

  9. Then, select the option to export the file as a .csv (comma separated value) file

  10. Open the .csv (comma separated value) file

  11. Save the file to your computer and name the file with today's date


Export from Procare Connect

  1. Login to ProCare Connect

  2. On the left-hand side, go to Reports

  3. Scroll down, under Management, and select Students & Family

  4. Select Custom (All Fields)

    1. If you do not see the Custom (All Fields) option in the dropdown, select all the fields manually (being sure to select student first name, student last name, room, and any parent name and contact fields)

  5. Click Generate Report

  6. The report will generate as an excel or CSV file on the right side of Procare Connect, and then click to Download


Export from Lillio (formerly HiMama)

  1. Login to your account

  2. Open the Reports module, and scroll to the Center Reports section

  3. Select Child Profile. This opens a page to generate the report. This page lists column data available in the report and provides fields to filter the data

  4. Select the center, classroom, and child status to examine in the fields provided. You can set the report to examine Active or Inactive (upcoming/graduated) students

  5. Click Generate Report. This prompts the report to download in CSV format


Export from Brightwheel

  1. Log in to your school account

  2. From the menu on the left, click My School and then Students

  3. Use the filter options (Student's Name, Status, and Room) to narrow down the roster, if desired

    • Please Note: The Roster will default to show all student's with an Active status

  4. Click the orange Export Roster button

  5. Select or add the email address(es) the export should be sent to

  6. Select/deselect the columns that should be included in the export

    • Make sure to always keep First Name, Last Name, and Homeroom selected

    • Please Note: The reports are sent immediately, but if your school is large, this may take a few minutes. Once you receive the email, you can download the report and print.

  7. Click the orange button at the bottom of the pop-up to send to all selected email addresses

The export can include any or all of the following fields:

  • First Name

  • Last Name

  • Brightwheel ID

  • Student ID

  • Enrollment Status, Date, and Additional Details

  • Toured Date

  • Desired Start Date

  • Paperwork Date

  • Rooms & *Homeroom

  • Sibling Attending

  • Birth Date (Or Expected Birth Date)

  • Ethnicity, Gender, and Race

  • Meal Type

  • Allergies & Medications

  • Doctor's Information

  • Address Information

  • Parent information for all parents: Name, Email, Mobile Phone Phone 1 & 2

  • Approved Pickup information for all contacts: Name, Email, Mobile Phone, Phone 1 & 2

  • Family contact information for all contacts: Name, Email, Mobile Phone, Phone 1 & 2

  • Emergency Contact information for all contacts: Name, Phone 1, and Relationship

  • Admin Notes

  • Graduation Date

  • Subsidy & Subsidy Details



​Export from Playground

  1. Login to Playground

  2. On the left-hand side, go to My School β†’ Students

  3. Click the Settings (wheel) icon far right, below filters

  4. Click the Settings (wheel) icon again to close the menu and click Download view.

  5. After clicking Download view, you can select save data in all columns to export all data

  6. Click Download
    ​


Export from Smartcare

  1. Login to Smartcare

  2. Select Reporting

  3. Select one of the following report types:

    1. Click on Children List (With Custom Fields). Then, select all fields that apply (please include child first and last name, homeroom, primary account owner and their contact information at a minimum)

    2. Click on Directory (Roster). Then, select all fields that apply (please include child first and last name, homeroom, primary account owner, and their contact information at a minimum)

  4. Refresh the report

  5. Download this report as an XLS file

Please Note: Sometimes in the SmartCare exports, the column headings may end up misaligned from the column bodies and column content may be merged. In this case, we can still accept the file.
