How to easily run a report to highlight any discrepancies between your FarmWizard herd book and the APHIS government database

The FarmWizard APHIS Interface includes a report which compares the ear tags in your FarmWizard herd book with the APHIS government database.

It's vital to keep your FarmWizard Herd Book fully reconciled with APHIS. Here are the main reasons why an accurate herd book is important:

  • TB Testing: the TB Tester's list is generated from the Government database

  • Official DAERA on-farm inspections

  • Farm Quality Assurance inspections

  • Trading Standards: Movement Book inspection - where animals moved from/to

How to run the "Differences" report

If your FarmWizard account contains multiple herd numbers, which are registered to different holdings, use the Herd Manager > Change Herd menu first to select the herd number that you want to work with.

To run the Difference report:

1. Go to the Herd Manager main menu, then click "Differences" under the APHIS Interface menu.

2. Click the "Check for Differences" button

3. The report will take a few seconds to compile and is split into three sections:

  • Animals on APHIS but not on FarmWizard

  • Animals on FarmWizard but not on APHIS

  • Animals whose details differ on APHIS and FarmWizard

Examples of how discrepancies can occur

Animals on APHIS but not on FarmWizard:

  • Animals purchased and moved "on" to the holding under a Northern Ireland Movement Permit/Licence have not been added to the FarmWizard herd book e.g. by using the FarmWizard "Check for movements in" function

  • Births have been registered by another method e.g. APHIS Online and not yet entered into the FarmWizard herd book

 Animals on FarmWizard but not on APHIS:

  • Births have been recorded on FarmWizard, but not successfully registered on APHIS.  This could highlight a genuine issue where the government system has not received the registration request

  • Animals sold under a Northern Ireland Movement Permit have not yet been removed from the FarmWizard herd book by using the "Check for movements out" function

Best practice advice to avoid problems

  • When new Births have been added on via the main FarmWizard website or the mobile App, you should then immediately go to the Registrations page and double-check that all the birth registrations are showing on the pending list

  • Run the Differences report frequently, especially during the calving season, to ensure that every calf has been registered well before the 27 day deadline i.e. no calves should show on the list for being "on FarmWizard but not on APHIS"

  • Register calves as soon as they are tagged

  • Update your FarmWizard herd regularly with all animal Sale events via the FarmWizard Permit Builder or by using the "Check for movements out" function

  • Update your FarmWizard herd regularly with all animal Purchases by using the "Check for movements in" function
