How to Add or Remove Yourself as a Trip Arranger for Another User

Learn how to add or remove access to book travel on behalf of someone else.

If you would like to add or remove the ability to book travel for someone else, follow the below instructions.

To add or remove yourself as a Trip Arranger for another user:

  1. Login to your Melon Account.

  2. Select the Hey menu in the top right corner.

  3. Select My Account from the drop down list.

  4. From the My Account page, select Trip Arranger.

  5. To remove someone from the list of users you can book travel for, click the X next to the user you wish to delete in the Travelers section.

  6. If you would like to add a new person to the list of user's you can to book travel for, click + Add Travelers in the Travelers section.

  7. This will open a box where you can type the name or email address of the user that you would like to book travel for. Add as many travelers as you would like and then click Save.



Troubleshooting Tips:

Not seeing the name of the user you need?
If a user selects "No" for global visibility in Trip Arrangers, their name won't show up in the Add User field. To add them as a traveler, they must change it to "Yes." Alternatively they may not be added to Melon yet, your organization's Admins or Dedicated Travel Team can check if they're a Melon user.

Not able to select their name, it's greyed out?
If a name appears but is greyed out and cannot be selected, it means they haven't completed their Melon onboarding by logging in. A user cannot be designated on Melon's Trip Arranger page until they finish this process.

I received a pop up box advising the user I selected must action an email?

If you see a message prompting the user to take action via email, it indicates your organization's permission-based approach for adding Trip Arrangers. Once they approve your request via email, you can start booking their travel.

How can I edit a user's travel profile on their behalf?

A user can allow you to edit their travel profile on their behalf, but they must designate this within their Melon account.
