How To Use The VA Toolbox As A Business Owner

BuyBotPro include a Virtual Assistant (VA) management tool with its subscription that enables business owners to see exactly what theirs are doing and the deals they are finding – the VA Toolbox.

In the VA Toolbox section of the BuyBotPro panel, click on VA Manager Login to access the seller dashboard.

If accessing the VA Manager for the first time, create a new account with the email address associated with BuyBotPro and inserting the password – the first six characters of the BuyBotPro license key.

The dashboard itself displays the following charts and data:

  • Total Deals – all deals submitted by VAs

  • Total Work Time – VA logged work time

  • Daily Deals – hover over each column for more detail on each day’s activity

  • Latest Deals – most recent deals found and submitted by VAs

  • Latest Screenshots – visual tracking of VAs work

The first two charts are split between Virtual Assistants, and colour-coded for each one.

The Latest Deals table details - in reverse chronological order - deals submitted by VAs through the VA Toolbox.

The name of the product and which VA submitted it, the ASIN and its marketplace, the Buy Price, Sell Price and BBP Score are displayed, as well as when that deal was submitted.

Clicking on the ASIN will open up the Amazon listing for that product.

Click on the arrow by All at the top of the table to choose to filter deals submitted by each Virtual Assistant. This is also an option in the Latest Screenshots box.

On the right of the screen, there are several buttons to access more detailed data on any VA activity.

BuyBotWholesale - This feature will allow you to upload your wholesale spreadsheets to get BBP to analyse the entirety of the sheet to then produce a list of analysis results for every item, making it easier to cherry pick which items you'd want to go ahead with.



Click on VA Toolbox, and it'll then display the various Toolbox pages;

The first being the time logs – details the time each VA has worked for in each sourcing session. It also details the number of deals and how many screenshots were taken in that session, and clicking on the number for each will open up the corresponding screen.

Choose to filter by VA with the dropdown on the top right.

The Deals page lists all the deals the Virtual Assistants registered on BuyBotPro have submitted.

Hover over the initials in the VA column to reveal their full name, but the rest of the information is laid out as it is in the Latest Deals table on the dashboard.

Clicking on the Amazon link on the right will open the Amazon listing for the deal. The bin icon can be used to remove the deal.

The screenshots page shows all the screenshots taken during all the VAs logged sessions.

In order to capture screenshots from a VAs sourcing session they will need to download the BuyBotPro VA Monitoring Add On Extension for Chrome. The link is available at the top of the Virtual Assistants page or find it in the Chrome Web Store.

Click on the dropdown on the top left of the Screenshots page to filter by VA, and the one on the top right for different date ranges.

Screenshots provide evidence of the work that a VA has been doing, but also shows their workflow which proves useful when reviewing their performance and training.

The Virtual Assistants page, is where the bulk of VA managing can be done.

All the details of each VA including their total working time, deals and screenshots as well as their last submission are listed.

Click on any of the coloured boxes to open the full details of the time, deals and screenshots.

Whether the VA is active is displayed, and there are options to edit the details for each VA in the Actions column.

This is also where new VAs can be added by clicking on the blue Add New Virtual Assistant button.

There is an additional button where sellers can manage the Active Devices used by VAs, so if the limit on an account is reached it is possible to delete one in order to add any new ones.

In the BBP Settings page the basic details of a sellers account is shown, and this is also where they can set the criteria for VAs to work toward. The key factors of BSR, ROI, Profit and BBP Score can be set and will be shown in the VA Toolbox.

In the Settings page the information of the account holder can be edited and where the account password can be changed.
