How to Process Refunds in FEVO Enterprise

FEVO Enterprise offers a variety of options for processing refunds, though each integration has specific requirements and limitations. This article provides a breakdown by integration, explaining how to process both full and partial refunds, as well as how to handle the return of seats and service fees where applicable.



1. Archtics Integration

  • Full Order Refunds:
    You can process full refunds, including FEVO service fees, directly in the Enterprise Portal (EP). When refunding a full order, FEVO offers the option to return seats to inventory in Archtics if this feature is enabled for the organization.

    The refund amount remains on the returned line item in Archtics as an overpayment rather than reversing directly, which must be managed by the client.

  • Partial Order Refunds:
    Partial refunds are supported, but be aware that if seats are returned, the entire order is refunded in Archtics rather than individual seats.

2. TDC Integration

  • Full Order Refunds:
    Full refunds, including any service charges, can be processed in EP. If the option is selected, FEVO can return both seats and service fees back to TDC.

    Money is reversed in TDC, restoring funds directly to the payment method.

  • Partial Order Refunds:
    Partial refunds can be processed, though please note a current bug causes the return amount in EP to differ from the amount shown in TDC. Additionally, all PV service charges are returned if the permission is configured in TDC.

3. PAC Integration

  • Full and Partial Refunds:
    FEVO Enterprise supports both full and partial refunds, including any applicable service fees.

  • Limitations: Seats and money are not automatically returned in PAC. Clients must manually manage seat inventory and handle the refund process internally after initiating the refund in EP.

4. AXS Integration

  • Full and Partial Refunds:
    Both full and partial refunds, including service fees, can be managed in EP.

  • Limitations: Seats and funds are not returned to AXS automatically. After processing the refund in EP, FEVO must notify AXS (Coleman) to adjust seat inventory and complete any other necessary steps.

5. Host Integration

  • Full and Partial Refunds:
    EP supports full and partial refunds, with or without service fees.

  • Limitations: Neither seats nor funds are automatically returned in Host. The client needs to contact TM Customer Support to adjust seats and finalize the refund process in the ticketing system.

6. Front Gate Integration

  • Full and Partial Refunds:
    Both types of refunds, including FEVO service fees, can be processed in EP.

  • Limitations: The client is responsible for manually returning tickets within the Front Gate ticketing system, as seats are not automatically adjusted.

7. Ticket Return Integration

  • Full and Partial Refunds:
    Refunds, with or without FEVO service fees, can be processed in EP.

  • Limitations: Clients must manage seat returns directly in the ticketing system, as EP does not automatically return tickets.

8. FEVO Inventory Non-Integrated

  • Full and Partial Refunds:
    Refunds, with or without FEVO service fees, can be processed in EP.

  • Limitations: EP will automatically return tickets back onto the offer with the name & price that the ticket was originally purchased as. Client may need to update tickets once the refund is approved to align with current tickets.


Important Reminders

  • EP Refund Flow: Refunds in EP will follow the default settings configured for each integration, so be sure to review any specific organizational permissions and features that may impact refund and return processes.

  • Manual Adjustments: For PAC, AXS, Host, Front Gate, and Ticket Return integrations, be sure to communicate with the appropriate ticketing system or support team to finalize seat and money adjustments, as EP does not automatically return these.
