Invite a colleague to your organisation

Invite new users and manage access levels to your organisation in Fill

Growing your team in Fill starts with inviting the right people. Once a colleague is added, they can collaborate on requests, review candidates, and manage consultants — depending on the access level you give them.

How to invite a colleague

  1. Click on Settings in the menu to the left of the screen.

  2. Navigate to the User tab.

  3. Click New User in the top-right corner.

  4. Enter your colleague's email address.

  5. Click Send invitation. An email will be sent with a link to activate their account.

Can't invite a User tab in Settings?
That means your account doesn't have the required access level. Ask someone in your organisation with Administrator rights to help you invite the user.

Roles and access levels

Once a colleague has been invited, you can assign them one of two roles:

Administrator — Full, unrestricted access to the entire platform. Administrators can post requests, invite colleagues, manage the supplier directory, and view all assignments and consultants.

User — Can create and post requests, interview candidates, and view consultants assigned to them, but has limited access to Settings and insights.

Additional labels you may see

In addition to the two roles above, you may notice these status indicators:

Invited — The invitation has been sent, but the person hasn't registered yet.

  • You can resend or revoke the invitation at any time.

  • Once registered, the default role is User (which you can change to Administrator if needed).

No access — The person has been added for administrative purposes (for example, assigned as a manager to a consultant) but doesn't have an active Fill account yet.

  • No invitation has been sent to them.

  • If you invite them later, they'll automatically gain access to everything they've been historically assigned.
