Next Generation - Set up new country records

If you are dealing with customers and suppliers in different countries in the world, these country records should be set up in your database.

Some country records will automatically be created in your database, like for example all the current EU countries, so you don't have to do this.

Any new country that you wish to set up is done in the System Module which is security profile permission driven.

Set up a new country record

  1. Click System then Settings and then click Countries.

  2. Click on the + New button at the top of the toolbar.

Fields

Description

Country Type

  • Defaults to EU and you can choose from:

    • EU

    • Non-EU

  • When EU is selected, then the Intrastat default fields are populated for you to populate. LINK!!!!

  • When country type for a user Non-EU state is changed to EU then when you save the record, you will be informed that the customers and suppliers will not update automatically, you will need to review and update accounts.

  • You may also re-enter any part delivered order for this country to apply the new EU VAT rules.

Code

  • Defaults to blank and allows upto 4 alphanumeric characters.

  • It is a compulsory field, you must always add a country code.

  • You cannot change the country code if it has been assigned to a customer or supplier record.

Country ID

  • Numeric field and allows up to 5 characters.

  • Must always be unique for each country record.

Name

  • Alphanumeric field and allows up to 20 characters.

Symbol

  • You can either type in the Symbol or you can select from the list by clicking on the spyglass.

VAT Reg. Prefix

  • Alphanumeric field and allows up to 4 characters.

  • It is a compulsory field wne EU Country Type is selected and you can enter the Country Code in this field.

Tax Name

  • Alphanumeric field and allows up to 5 characters.

  • You can enter this as a memo item.

EMU Joining Date

  • Date field and it is the date the country you are creating joined the EU.

Tax. Rep. VAT No.

  • Alphanumeric field and allows up to 15 characters.

  • It is essential to enter this field if you have a Tax Representative (Fiscal Agent) in the country concerned.

Branch

  • Alphanumeric field and allows up to 3 characters.

Notes

  • This is a free text field and is editable when inserting or editing a country record.
