Fitmedik’s Alerts & Tasks feature helps you stay on top of critical responsibilities—like medication schedules, careplan updates, policy reviews, and more. By creating alerts, you ensure that both you and your teammates receive timely reminders and never miss a crucial deadline.
Key Points to Remember
Alerts = Tasks that need your attention or your team’s attention.
Tag Users or Roles in chat to automatically create these alerts.
Open, Pending, and Completed tabs help you see what’s due, what’s in progress, and what’s done.
Step 1: Creating an Alert in Chat
Open the Chat Window
From the left-hand menu, click Chats.
You’ll see a message field at the bottom.
Type Your Alert Request
For example: “@Caregiver, please administer John Doe’s morning medication tomorrow at 8:00 AM.”
Important: You must tag a user or role (e.g.,
@Nurse
,@Caregiver
,@YourName
) for the alert to be created. If you don’t tag, the system won’t create the alert.
Send Your Message
Press Enter or click the arrow button to send.
Fitmedik’s AI will confirm the alert is created and stored in the Alerts tab.
Check Your Work
Go to Alerts in the left-hand menu to see your newly created task.
Why Tagging Matters
Tagging ensures the system knows exactly who or which role is responsible. No tagging, no alert!
Step 2: Viewing and Managing Alerts
Open the Alerts Tab
From the left-hand menu, select Alerts.
You’ll see three main tabs: Open, Pending, and Completed.
Tabs Explained
Open: Alerts that anyone with your role can claim. You’ll see tasks that might apply to you but aren’t yet assigned to an individual.
Pending: Alerts assigned specifically to you or created by you for someone else. These are your “to-dos.”
Completed: Alerts that have been finished. This acts like an archive of past tasks.
Assigning an Alert to Yourself
In the Open tab, find an alert that needs your attention.
Click the red + symbol or a button that says Assign to Me (depending on your interface).
This moves the alert into your Pending list.
Alert Details
Click on an alert to see more info (due date, assigned person, notes, etc.).
If you have permission, you can edit details like the completion date or who it’s assigned to.
Step 3: Editing Alert Details
When you click on an alert, a detail panel appears (see attached screenshot). Here’s what each field means:
Status: Open, Pending, or Completed.
Assigned to: The person or role responsible for this alert.
Due by: The date and time the alert should be completed.
Created at: When the alert was originally made.
Created by: The user who initially set up the alert.
Activity: Short description (e.g., “Medication Administration,” “Bathing Assistance”).
Completion Type: Whether anyone or a specific person can mark this as done.
Repeats: Whether this is a one-time alert or repeats daily, weekly, monthly, etc.
Schedule: Specific dates or days of the week for recurring alerts.
Duration: How long the task usually takes.
Resident ID: The resident associated with this alert, if applicable.
Actions:
Delete: Removes the alert.
Save: Updates any changes you’ve made.
Cancel: Closes the detail view without saving changes.
Step 4: Creating Alerts from Careplans
Upload the Resident Careplan
In the Alerts tab, click Upload Careplan.
Choose the PDF or document that contains the resident’s care plan.
AI Generates Alerts
Fitmedik’s AI reads the care plan and automatically creates recommended tasks (e.g., daily medication, monthly check-ups).
A list of these newly generated alerts will appear for your review.
Review and Confirm
Look through the suggested alerts, edit any details if needed (dates, times, assigned staff).
Click Save and Trigger Alerts to finalize them. They’ll show up under Open or Pending, depending on the assignment settings.
Practical Tips & Reminders
Use Roles Wisely: If a task is for any nurse on staff, tag
@Nurse
. If it’s for a specific person, tag their username (e.g.,@WonderWoman
).Check Regularly: Get in the habit of reviewing your Alerts tab each shift. You’ll stay organized and won’t miss deadlines.
Recurring Tasks: For tasks like “Weekly Staff Meeting” or “Monthly Resident Assessment,” set an appropriate repeat schedule so you don’t have to recreate the alert each time.
Mark Tasks Completed: Once done, open the alert and set its status to Completed to keep your list clean and updated.
