📌 What is the Segment Specification?

The Specification in the Office is where you structure the details of a segment — it contains all product articles from a Manufacturer or Supplier that are included in that project segment. It doesn’t include prices, but it forms the foundation for all subsequent documents (Proforma and Packing List).

⚙️ How to Access the Specification

When you open a segment in the Office, you’ll land in the Specification view. Here’s what you’ll find:

  • Article Table: A structured table showing all items (articles) in the segment.

  • Description, Materials, and Dimensions: Each column provides essential product details.

  • Net Weight and Volume: Technical fields help with logistics but may initially appear empty.

Editable fields are underlined with a dotted line. Simply click on a field to open a pop-up where you can edit the content. Empty fields are highlighted in red to prompt you to complete them.

✏️ Editing and Populating the Specification

  • Editable Fields: Name, Description, Materials, Dimensions, Weight, Volume, and Quantity.

  • Field Editor: Click to open a pop-up editor for easy changes.

  • Empty Fields: Highlighted in red — make sure to fill them in before requesting documents.

💡 Tip: Click on an item’s thumbnail to open its detailed page in the Content Library.

🔒 Document Access and Permissions

  • Manufacturers/Suppliers: Access to all documents (Specification, Proforma, Packing List) is immediate.

  • Other Users: Only the Specification is initially available; you must complete it thoroughly before requesting the Proforma and Packing List.

This workflow ensures accurate and complete documentation is sent to suppliers or partners.

💾 Saving and Sharing the Specification

  • Save: Download the Specification as a PDF for record-keeping or sharing.

  • Share: Generate a public link to share with partners or customers — use the toggle switch to enable/disable access.

  • Messenger Integration: Send the public link directly through Flameplace Messenger, external messengers, email, or any other method.

  • Access: Both registered and unregistered users can view the Specification in read-only mode.

  • Disable Access: Revoke the public link at any time by toggling the switch off.
