In-Person and Webinar Event Check-In

How to Check-in candidates using the "Start Check-In" button, Kiosk mode, or the Day of link.

There are three ways to check candidates in to an event: Admin Check-In, Kiosk Mode, and QR codes using the Day-of or Kiosk Mode link. Each option allows you to choose the check-in experience that works best for your event.

Admin Check-In Process

Admin Check-In can be used for both in-person and webinar events.

To begin, log in to your account and navigate to the Events page. Select the event you want to manage and click Start Check-In.

If you do not see the Start Check-In button, make sure check-in is enabled for the event:

  1. Click Edit Event.

  2. Select Yes under Check-In Enabled.

  3. Click Save Changes at the bottom of the page.

Once you start check-in, you will see a list of candidates who previously registered for the event. Under the Action column, click Check-In next to each candidate as they arrive. The Checked In count at the top of the page will update as candidates are checked in.

Adding a Candidate Who Did Not Register

If a candidate arrives who did not previously register for the event, click Add Candidate to add and check them in on the spot.

Once the candidate is added and checked in, they will immediately receive both an email and a text message containing a link to complete their registration. This allows candidates to answer qualifying questions and upload any requested documents on their own device without holding up the check-in line.

Completing Check-In

After the event, you can mark candidates who did not attend as No Shows. Select the remaining candidates and use Bulk Actions → Mark Selected Candidates as No Shows.

Candidates marked as No Shows will be removed from the list of candidates available for Invited Members to leave feedback on and will not receive a follow-up email.

Kiosk Mode

Kiosk Mode allows candidates attending an in-person event to check themselves in using a computer, tablet, or their own mobile device.

To use Kiosk Mode, log in to your account, select the event, and click Enter Kiosk Mode.

If you do not see this option, click Edit Event and select Yes under Check-In Enabled.

You can also copy the Kiosk Mode link and use it to create a QR code, allowing candidates to check in directly from their own devices.

Once in Kiosk Mode, candidates will fill in their own information to check themselves in. (Below is the check-in screen Candidates will see during kiosk mode)

After entering their email, name, and phone number, candidates will immediately receive both an email and a text message with a link to complete any remaining registration requirements, such as qualifying questions or document uploads.

If the candidate already registered for the event using the registration link, Flo will simply mark them as Checked In rather than creating a duplicate candidate profile.

QR Codes

Using QR Codes for Check-In

QR codes allow candidates to quickly access a check-in or registration link from their mobile device. On most devices, candidates can simply open their phone's camera, scan the QR code, and follow the link that appears.

QR codes must be created outside of Flo. Copy the desired link from Flo and paste it into a QR code generator.

There are three links you can use:

  1. Day-of Link: This link is general to your firm and does not expire, so you do not need to create a new QR code for every event. Candidates who open it will see the events taking place that day.

  2. Registration Link: This link is specific to an individual event. It is a great option for materials promoting a future event, such as flyers.

  3. Kiosk Mode Link: This link is also specific to an individual event and allows candidates to check themselves in. Because it is event specific, you will need to create a new QR code for each event.

For day-of check-in, we recommend creating a QR code using either the Day-of Link or the Kiosk Mode Link.
