Setting up Fluint Notetaker

Getting Started with Fluint's Native Notetaker: Your Automated Meeting Transcription Tool

The Fluint Notetaker is a built-in call recording system that automatically captures meeting transcripts and video. It's included in your Fluint license on any plan tier and is compatible with Gmail or Outlook based calendars.

Using an integrated call recording system is one of the fastest ways you can go from discovery to high-quality content in Fluint.


βš™οΈ Setting Up the Fluint Notetaker

Fluint's Notetaker is a great option for those who don't have another call recording tool (like Fireflies, Fathom, etc.) or for individual users who don't have access to our Gong, Salesloft, or Clari integrations (only available to Team Licenses), but want seamless transcript imports.

We now have two options for Notetaker set-up:

  • Traditional Notetaker bot via calendar connection

  • Downloadable desktop app

Option 1. Notetaker Bot Setup (most common)

  1. Head to Settings (gear icon in the bottom left corner of your screen)

  2. Select "Integrations"

  3. In the "Individual Integrations" section, choose either Gmail or Outlook

  4. Grant Fluint read-only calendar access when prompted

  5. Configure your preferences:

    • Notetaker Name: We recommended changing to "[your name]'s Notetaker"

    • Auto-join Options: Choose when the Notetaker should join meetings:

      • Recommended: "External Meetings" - Notetaker joins any meeting with participants from external domains

      • Alternative: "Manual" - choose specific meetings for Notetaker attendance

  6. Click "Update" to save your settings

Option 2. Desktop Notetaker Setup

  1. Instead of connecting your calendar, click to download the desktop version

  2. Complete the setup wizard on your screen after downloading

Note: Connecting your calendar on gives read-only access to your calendar, not email access. Syncing email content can only happen through CRM records via Hubspot or SFDC integration.

Viewing and Modifying Upcoming Meetings

(Relevant for calendar Notetaker bot users only)

  1. Navigate to your dashboard and click into any deal

  2. Once in deal view, click "All Meetings" from your deal space menu options

  3. Then, "Import Meeting"

  4. Your 'Upcoming' schedule should display by default

  5. Click to manage the Notetaker's meeting attendance:

    • βž• 'Add Bot' to add Notetaker to an upcoming

    • βœ… 'Will Record' indicates where Notetaker will auto-join

  6. Manual URL: if a client sends you a meeting link last minute, simply copy and paste the meeting URL in the 'Meeting URL' tab to send Notetaker in real time.

After the Meeting

Shortly after your meeting ends, the transcript should appear automatically in the primary 'Meetings' section of your Fluint account.

And, if a deal already exists in Fluint prior-to your meeting, we'll do our best to match it automatically based on things like domain, title and attendees. If your meeting doesn't get auto matched to a deal, just hit the 'Assign to deal' link:

Don't see your meeting? Wait at least 45-60 minutes first. Most meetings are processed quickly within 5-10 minutes, but sometimes processing can get delayed during periods of high volume, or for long meetings (60 min+).

✨ Lastly, click into any meeting recording for an automated executive summary, next steps, and a searchable transcript. Pro tip: try asking Olli for any of the following:

  • Specific quotes from the call

  • To summarize FAQs or objections that arose

  • Clarification questions

  • Drafting follow up emails
