How To Track Payments

Recording manual payments and receiving credit card payments for ads booked in your ad shop.

Once an invoice has been created, you have the option to request payment by credit card directly through the flytedesk platform, or manually record any payments made by methods outside of the flytedesk platform (such as cash, check, etc.)

Recording a manual payment

To record a payment made on an invoice, first navigate to the invoices tab of your billing page and find the invoice you’d like to record a payment for. Then, click the action menu for that invoice in the farthest right column of the table and select “Record payment”.

From here, you’ll be prompted to fill out information about the payment you are recording. This information includes:

  • Amount: The dollar amount this payment represents.

  • Date paid: The date you received the payment.

  • Payment type: What method was used to pay (for example cash, check, etc.)

  • Notes: Any additional information you’d like to track associated with this payment.

Once added, your new payment record (along with any previous ones) can be found in the table directly below where you filled out all this information. From here you also have the option to void any payment records by clicking “void” to the right of the payment you’d like to void.

Charging a credit card

To charge a credit card for the remaining balance of an invoice, first, navigate to the invoices tab of your billing page and find the invoice you’d like to make a payment for. Then, click the action menu for that invoice in the farthest right column of the table and select “Record payment”. At the top of the payments window, navigate to the tab named “Credit Card”. From there, just fill out the information for the credit card and hit the “Submit Payment” button. The credit card will be charged for the full remaining balance of the invoice.

Requesting a credit card payment from your client

You also have the option to request a credit card payment from your client directly. To do this, first, find the invoice you’d like to send on the invoices table on your billing page. Then, click on the action menu on the far right side of the table next to that invoice, and select “share invoice”. This will display a link, which you can copy and send to your clients. This link will send your clients to a page that displays the invoice information as well as a credit card form for them to enter their own credit card information.
