In some instances, you may have a limited amount of inventory available per day for particular products. For example, you may want to limit the availability of a back page ad to one per issue or limit the number of newsrack spots available based on the number of units your organization controls.

Limiting quantity available in the media kit

By default, each product variant created in your media kit will have the "unlimited" quantity available option selected. To change this, click in the "quantity" column for the variant you'd like to edit. In the popover window, enter your desired available quantity in the input. Note: the number entered here represents the quantity available of this product per available day. For example, entering "1" for your back page product variant would mean you have one back page available every day your paper is published (indicated in the collection schedule), rather than one available across all days.

Booking limited-quantity products in the Ad Shop

Once you've indicated that a product has limited available inventory, that information will be reflected when booking that product in your Ad Shop. On the Ad Shop product page, hovering over a date will reveal how many units remain available on that day, how many you've selected, and how many are in your cart. If a product is sold out on a particular day, that day will appear in red on the date selector calendar.

As a publisher booking an order on behalf of your buyer, the flytedesk platform will allow you to "overbook" your available inventory if you've sold out and will warn you before you take this action. However, if your buyers are booking an order in your Ad Shop themselves, they will not be allowed to book more than your indicated availability.

Rescheduling limited-quantity products

When rescheduling an ad associated with a limited inventory product, the date selector calendar will display inventory availability information, similar to what you see when initially booking a product in the Ad Shop. To reschedule an ad, find the ad on the run dates tab of your orders page. Then, select "reschedule" from the options in the "action" column of the ad you'd like to reschedule.

In the date selector calendar that appears, just hover over a date to reveal how many units remain available on that day. If a product is sold out on a particular day, that day will appear in red. Once you've selected which date to reschedule your ad to and clicked "confirm," the quantity available for that product will be updated for both the old and new date.
