Admins: How to set up the Slack timesheet bot

For admins: connect the Forge Slack bot, and a message you can send your team to roll it out.

The Forge Slack bot lets your team submit timesheets without leaving Slack. This article covers setting it up. For jobs, approvals and corrections, see Admins: How to manage your team's timesheets.

How it works

  • At 5pm each workday, the bot messages each person on your team.

  • Hours are pre-allocated to each person's jobs, so most days they just click Submit.

  • If their day looked different, they adjust the hours before submitting.

  • Missed a day? They scroll back in the Forge app and fill it in.

Connect Slack

  1. In Forge, go to Team.

  2. Click Connect Slack and approve the connection in Slack. You need to be a Slack admin to do this.

  3. Make sure everyone on the award is invited to Forge. The bot only messages people who have a Forge account.

Introduce it to your team

It lands best coming from a founder, in the Slack channel where you want questions to go. The message links to Team members: How to log your time in Slack, so your team has the steps.

Hi team,

As you may know, we're partly funded by a [NSF SBIR] grant. One condition of the grant is tracking time spent on the project and on general company work, so getting timesheets in accurately and on time matters.

We use Forge to log and approve time. Forge has a Slack bot, so you don't need to leave Slack to log your hours.

First up: for [month], please log the time you spent on the project in the Forge dashboard so we have a complete record. Please backfill by [date].

Going forward, just submit your time when the Forge bot checks in at 5pm each day. Your hours are pre-allocated, so most days you'll only need to click submit.
