How to use Copilot's Find and Replace feature

This document guides you through using the Find and Replace feature, a powerful tool located in your toolbar designed to streamline your text editing. Whether you need to correct errors, update terminology, or ensure consistency, Find and Replace can significantly speed up your workflow.

Accessing Find and Replace:

There are two convenient ways to open the Find and Replace dialog:

  1. Using the Toolbar Button: Look for the Find and Replace button in your toolbar. Clicking this button will directly open the search dialog.

  1. Using a Keyboard Shortcut: When your toolbar is active, you can instantly access the Search dialog by pressing:

    • Ctrl + F (on Windows and Linux)

    • Cmd + F (on macOS)

Finding Text:

  1. Open the Find and Replace dialog using either the toolbar button or the keyboard shortcut.

  2. In the dialog box, locate the field labeled "Find In text"

  3. Type the word or phrase you want to locate in this field.

  4. Click the "Find" button. The first instance of your search term will be highlighted in your document.

  5. Continue clicking on the arrows to locate previous subsequent occurrences of the text.

Replacing Text:

  1. After finding the text you want to replace (as described above), locate the field labeled "Replace with".

  2. Type the new word or phrase that you want to substitute for the found text.

  3. You have a few options for replacement:

    • Replace: Click this button to replace the currently highlighted instance of the found text with the text in the "Replace with" field.

    • Replace All: Click this button to automatically replace all instances of the found text throughout your entire story with the text in the "Replace with" field. Use this option with caution! It's often a good idea to use "Find" first to understand how many instances will be affected.

Advanced Search Options:

For more precise control over your searches, the Find and Replace dialog offers advanced settings. To access these, look for a small arrow located at the bottom left of the search dialog. Clicking this will expand the dialog to reveal additional settings:

  • Match Case:

    • Toggling "Match Case" ensures that the search will only find instances of the text that exactly match the capitalization you entered in the "Find In" field. For example, if you search for "Apple" with "Match Case" enabled, it will find "Apple" but not "apple" or "APPLE".

    • Toggling "Match Case" off (the default setting) will find instances regardless of capitalization. So, a search for "apple" will find "apple", "Apple", and "APPLE".

  • Whole Words Only:

    • Toggling "Whole words only" restricts the search to finding only complete words that match your search term. For example, if you search for "cat" with "Whole words only" enabled, it will find "cat" but not "catalog" or "concatenate".

    • Toggling "Whole words only" off (the default setting) will find your search term even if it's part of a larger word.

By utilizing the Find and Replace feature and its advanced options, you can efficiently manage and refine your document content, ensuring accuracy and consistency with ease.
