What are Global Author Syndication Rights Lists?

Encore facilitates the quick and easy syndication of content between Condé Nast brands. However, brands do not have rights to syndicate and publish all stories that exist in the content corpus on Encore. There are two main asset types related to each story on Encore. These include Story Text and Images.

Story Text

Story text is written by an author(s). It is the text that makes up a story. Example here. Stories can be filtered into two sections on Encore: ‘Restricted Content ’ or ‘Unrestricted Content’. See below.

  • Unrestricted Content — if an author has signed a global rights agreement with Condé Nast or is an in-house staffer, it means they are ‘cleared’ and their story text can be syndicated and published by other Condé Nast brand sites.

If an author has signed a global rights agreement with Condé Nast or is an in-house staffer, their names must be added to the ‘Global Author Syndication Rights List’ in order for their stories to appear in the unrestricted section on Encore – which would make them available for syndication.

The Global Author Syndication Rights Lists are Google Sheets. Each brand site has its own list. The lists are manually maintained by people on each brand team. The global brands (GQ, CNT, Vogue, GQ, Vanity Fair, AD, Wired) have Global Content Planning Managers that manage the lists. For the other brands, other staff members on the brand side manage the lists, including people from the Audience Development and Editorial Operations teams, as well as other business areas.

Once an author has been added to the list, the Encore ‘masthead’ must be updated. The masthead is a backend admin section of Encore. When the masthead is updated – by simply the click of a button – it tells Encore that updates have been applied to the Global Author Syndication Rights List. This means that, if a new author has been added to a brand’s Global Author Syndication Rights List, and the masthead is then subsequently updated, all of the author’s stories will then become unrestricted on Encore. Here is a guide on how to update the masthead.

  • Restricted Content — if an author’s stories appear in the restricted section of Encore, it means that they have not signed a global agreement with Condé Nast or they are not on the ‘masthead’.

Images

Image rights are dealt with entirely separately to story text. Image rights must be checked and cleared for re-use before publishing a syndication.

Image rights show on Encore. When clicking on a story on Encore, the story modal opens. On there you will see an Images tab. There are two sub categories under the Images tab: Cleared for reuse and Check reuse rights.

‘Cleared for reuse’ means: The images have been cleared for reuse for the brand that is selected in the ‘Destination’ menu – which is positioned on the right hand side of the story preview box.

As always, the images must be used for editorial purposes only and in the same context as the original story.

‘Check reuse rights’ means: Before you publish the images with your syndication, the image reuse rights must be checked with the brand that published the original story.

FAQs

The Global Author Syndication Rights Lists are Google Sheets. What does each column on the sheet represent?

  1. The ‘Name’ column – the name is the key cell within each Global Author Syndication Rights List Google Sheet that is mapped to Encore when the list is refreshed. The name of the author must exactly match the name of the author of the story in Copilot. If it does not match up, the story will appear in the ‘Show restricted content’ tab of Encore. If the name is different within the Global Author Syndication Rights List, update the name and refresh Encore’s masthead.

  2. The ‘Role’ column – this column is not mapped to Encore, and has no bearing whatsoever on syndication. This column is included just as a way to provide additional context for any viewers who may access the Google Sheet.

  3. The ‘Contract Type’ column – this column is not mapped to Encore, and has no bearing whatsoever on syndication. This column is included just as a way to provide additional context for any viewers who may access the Google Sheet.

  4. The ‘Available from’ and ‘Available To’ column – these columns are not mapped to Encore, and have no bearing whatsoever on syndication. This column is included just as a way to provide additional context for any viewers who may access the Google Sheet.

The name of the author on the Global Author Syndication Rights List is the same as it is in Copilot. Why is the story restricted in Encore?

Any difference in capitalisation, spacing, and special characters from what appears in Copilot will mean the story shows within the restricted tab of Encore.

Will an author’s story only appear in Encore if it is published within their contract period?

No. Authors’ stories will appear in Encore regardless of the specific contract dates stated within the Google Sheet. If an author's name is included within the ‘Name’ column, the story will appear on Encore.

Content managers/legal and business affairs team members are responsible for ensuring that the Global Author Syndication Rights Lists are up to date with only legally cleared authors.

If an author is removed from a Global Author Syndication Rights List, will their stories no longer show in Encore?

Once the author has been removed, and a Global Author Syndication Rights List has been refreshed – the author’s previously published stories will appear in the restricted tab of Encore. Any new stories by that author will also appear in the restricted tab of Encore.

What happens if a story does not have an author in Copilot?

The story will show up in the syndication tab in Encore, as eligible to be syndicated.
