When a contributor of media such as a photographer is assigned, a workflow will begin in Condé Nast’s Intake Portal software which comprises of receiving lo-res assets from the contributor, editors being notified and making their selections (alongside the design team) to order the final assets then receiving the hi-res assets. It is also possible to only request hi-res assets from the contributor which bypasses the ordering step (this is covered in the Intake Portal guides).

Content Planner makes this activity all visible in the ‘Assets Section’ of the content page. In the initial state when a contributor has been assigned but no assets have been uploaded you will see a button to Intake Portal called ‘View Package(s)’. This takes you to the overview of the content in Intake Portal.

Below is an example of when asset activity has been synced back to Content Planner from Intake Portal. The first contributor (commissioned) package has hi-res assets that have been ordered and received, and the second contributor (non-commissioned) package is in the hi-res uploaded state.

Lo-Res Assets

When lo-res assets are uploaded by the contributor to the location folders (in Intake Portal) that are specified when creating a contributor type photoshoot. You will see the folders appear in Content Planner with the status pill ‘Lo-Res’. Each folder will list all lo-res assets that have been uploaded by the contributor. These are protected with a Condé Nast watermark and are not downloadable from content planner. The assets are automatically synced to the production systems (LucidLink) from Intake Portal. This is an indication to the visual editors that the assets are ready for the design teams to use in their draft layouts, they can then proceed to liaise with the design teams on which assets work and need to be ordered as final assets.

Ordered Assets

When editors order hi-res adaptations of the lo-res assets (the final asset ordering process in Intake Portal) the status pills on the folders will update to reflect if one or more lo-res assets have been ordered from any one folder. In the below example Location 1 folder has 3 assets in order indicated by the 3 small ‘On Order’ icons over the thumbnails and the location folder status pill has updated to ‘Ordered’. Location 2 folder has 1 asset on order and Location 3 folder has no assets on order.

Hi-Res Assets

When the contributor receives the order request and uploads the final assets to the Hi-Res folder in Intake Portal, the asset section in Content Planner will update to reflect the changes and show the Hi-Res folder with all the Hi-Res assets within it and the Location Folders then become collapsed by default.

On each folder under a contributor you will see a blue ‘View Folder’ link, clicking this will take you to the folder of assets in Intake Portal where you can see more detail on the image.

Editing Image Caption

When hovering over any of the thumbnail images you will see an ‘Edit’ link, clicking this will launch a modal to edit the image details.

In the ‘Edit Image Details’ modal you can update the Image Caption for each image. The Credit and Image Description are read only as they are global fields for the asset entered in Intake Portal.

To the left of the total count of images within each folder there is an ‘Edit Media’ link that triggers a modal where you can update the Credit and Image Caption for all the images in that folder in one go.
