How to Grant Article-Level Access to a Contributor Using the "Edited By" Field

Granting access to Contributors

While Copilot fosters collaboration, users with the Contributor role can only access and edit stories they've created themselves. This might seem limiting, but fret not! We have a solution for scenarios where teamwork is key: the "Edited By" feature in Copilot.

Understanding the Challenge

By default, Contributors see only their own stories. This can be problematic when:

  • You need to edit a teammate's work.

  • Multiple contributors want to collaborate on a single story.

  • You want to update an existing story you didn't create.

For these types of use cases we have a feature in Copilot in “Edited by” section of a story.

Note: Depending on your language setting, "Edited by" can also be labeled "Collaborators" in your editing form.

Here's how to unleash the collaborative power of "Edited By":

  1. Locate the "Edited By" Section: Look for this field at the very bottom of the editing form. It lists all the people who have committed revisions to a particular story.

  2. Grant Editing Access: This list isn't just a read-only section. You can add another Contributor by username. Starting typing another Copilot user's name and the system suggest matching user names for you to select. Add as many users as you'd like.

  3. Unlock Collaboration: Once you save the change, the added user/s with the Contributor role will now have edit access to the story.

Note: A user with Contributor access can create and edit their own stories, as well as stories where they've been added to the Edited by list, but they can’t publish any stories. Someone with a higher level of permission will have to do the actual publishing.

To further illustrate this, here's an example of me adding a contributor Catherine Clark to the “Edited by” field article. After I save this change they'll be able to edit that story.

Now you and your team can edit and refine stories together, ensuring a smooth and collaborative workflow.
